Fuel and Energy Usage reports

Fuel and Energy Usage reports help you find cost savings in your fleet by identifying usage patterns and validating fill-up and charging events.

Tracking your fuel and energy usage helps you monitor where and when your vehicles are refueling during the day. You can use reports in MyGeotab to monitor your fuel efficiency, validate conventional fuel fill-ups, and monitor your electric vehicle's charging patterns.

The Fuel and EV Energy Usage page provides a comprehensive report on your fleet's driving energy consumption from both fuel and electric energy sources. Driving energy consumption includes both propulsion and auxiliary loads, such as heating and cooling. This report handles Plug-in Hybrid Electric Vehicles (PHEV), which consume both fuel and electric energy, as well as Battery Electric Vehicles (BEV), which consume only electric energy.

EV-specific meanings: report fields

A simplified list of EV-relevant field definitions in the Fuel and EV Energy Usage report.

The following is a simplified list of EV-relevant fields in this report:

Field

Description

Distance

Total distance traveled on all energy sources.

Electric Energy Used

Net electric energy used while driving or idling.

Note:

Energy added to the battery from all non-charging sources, including regenerative braking, driving down a hill, and fuel engine charging in a hybrid, is subtracted from Electric Energy Used. If energy is added to the battery faster than it is consumed, this value will be negative.

Fuel Economy

Displayed when the vehicle travels exclusively on fuel (electric energy used = 0); otherwise the field remains blank.

Electric Energy Economy

Electric Energy Used divided by Distance. Displayed when the vehicle travels exclusively on electric energy (fuel used = 0); otherwise the field remains blank. It is the primary indicator of battery electric vehicle efficiency.

Total Fuel and Electric Energy Economy

A single comparable value, displayed for EVs and ICE vehicles. If electric energy has been used, it is converted to the equivalent in fuel. This converted value is then added to the Fuel Used to calculate this combined Economy value. If electric energy is not used, this value is the same as Fuel Economy.

% Electric Energy of Total

Calculation of electric energy used (%), based on all electric and fuel energy usage. To learn how electric energy is converted to fuel, see How do you convert electric energy to the equivalent in fuel?.

Fuel and Energy Usage

Use the Fuel and EV Energy Usage feature to understand how the overall energy and driving efficiency of your fleet changes over time.

The Fuel and EV Energy Usage feature tracks the energy and fuel usage of your assets. This helps you identify the most and least efficient assets in your fleet in order to target low performers to save costs. The feature supports both fuel usage (L/100km) for conventional vehicles and energy usage (kWh/100km) for electric vehicles (EVs).

The feature displays your assets in a list with the following data:

Fuel/electric energy economy

Indicates the efficiency by converting the amount of energy used into L/km.

Fuel used

Indicates the amount of fuel used.

Energy used

Indicates the amount of electric energy used.

Date

Indicates the date period for the search.

Distance

Indicates the total distance driven.

Note: Plug-in Hybrid vehicles will display both fuel and energy used. Efficiency for these assets is determined by combining both fuel and electric energy economy.

How fuel usage is calculated

Fuel usage is calculated using a combination of engine-reported fuel data, imported fuel card data, and GPS-calculated travel distance. The system calculates the fuel used during a trip by querying the Device Total Fuel Used metric from the engine. If imported fuel transaction data is available, it is also included in the calculation. Fuel economy is reported as the amount of fuel used over the distance traveled with the given fuel (in mpg or L/100 km).

Viewing the Fuel and Energy Usage report

Learn how to view the Fuel and EV Energy Usage report to identify areas for improvement in your fleet.

  1. Navigate to Sustainability > Fuel and EV Energy Usage in the main menu.
  2. Under Filters:
    1. Select a date range for your data.
    2. Select whether you want to include archived data.
    3. Select the assets you want to include in the report.
    4. Click Apply.
  3. View the report in the format of your choice:
    • To download the report, click the Report icon and select the format of your choice.
    • To prepare a PDF copy of the report for download, click the Report icon. Select the More actions menu for the format of your choice and click Prepare PDF.
    • To view the report directly in the application, click the Report icon. Select the More actions menu for the format of your choice and click View in browser.

Depending on the size of your report, it may take some time to generate. Navigate to Reports > My Reports to view its status.

Fill-Ups

The Detected Fill-Ups feature tracks stops associated with fuel level increases throughout your fleet.

A fill-up event is identified every time fuel is added to an asset. Viewing fill-up events in sum can help you identify inconsistencies and potential cost saving opportunities for your fleet.

Fill-up events are detected from the vehicles' telematics data, specifically changes in the fuel level reported by the engine. Importing fuel transactions is not required; however, imported transactions add cost and product type information to matched events.

The Detected Fill-Ups feature shows the following information for each asset:

  • The date of the fill-up event

  • The address where the event occurred

  • The device associated with the asset

  • The driver associated with the asset at the time of the fill-up

  • The fuel economy, calculated between the previous fill-up and the most recent fill-up

  • The volume of fuel added during the event

  • The odometer reading at the time of the fill-up

If there is a matching fuel transaction record for the event, the cost of the fill up and the product type are also indicated.

If some fill-up rows show no cost or product type, the system detected the fill-up from engine data but could not match it to an imported fuel transaction record. Only fill-ups matched to a fuel transaction display cost and product type.

Note:

Rules cannot be created based on fill-up events at this time.

Troubleshooting missing fill-ups

If a vehicle was filled up but the event does not appear on the Fill-Ups page, consider the following:

  • The vehicle may not support the Fuel level diagnostic. Check the Engine Measurements report (Maintenance > Measurements) to confirm.

  • The selected date range might not include the time at which the fill-up occurred.

  • The detection algorithm requires a window of driving data to confirm a fill-up. The vehicle may need to be driven for a longer period before the event appears.

Viewing fill-up details

  1. Navigate to Fuel and Energy > Detected Fill-Ups in the main menu.
  2. Under Filters:
    1. Select a date range for your data.
    2. Select whether you want to include archived data.
    3. Select the assets you want to include in the report.
    4. Click Apply.
  3. Select the asset you want to view details for from the list.

  4. To view all fill-ups for the asset in a graph, click the Graph icon beside the asset name to open to the Detected Fill-Ups Graph.

  5. To view the location where a fill-up took place, click the Map icon in the fill-up row.
  6. To view detailed information about a fill-up, click the date and time of the fill-up to open the Fill-Up page.

Selecting a large number of assets may cause the page to load slowly. A completion percentage is shown at the top of the page to indicate that MyGeotab is still generating results.

Viewing the Fill-Ups report

Learn how to view the Detected Fill-Ups report to track and manage fuel fill-up events in your fleet.

  1. Navigate to Fuel and Energy > Detected Fill-Ups in the main menu.
  2. Under Filters:
    1. Select a date range for your data.
    2. Select whether you want to include archived data.
    3. Select the assets you want to include in the report.
    4. Click Apply.
  3. View the report in the format of your choice:
    • To download the report, click the Report icon and select the format of your choice.
    • To prepare a PDF copy of the report for download, click the Report icon. Select the More actions menu for the format of your choice and click Prepare PDF.
    • To view the report directly in the application, click the Report icon. Select the More actions menu for the format of your choice and click View in browser.

Fill-Up Validation

MyGeotab flags fill-up events when fuel transaction details don't match data from your GO device.

Imported fuel transactions are checked using data from your devices. If a fill-up event fails to meet the validation criteria, its row in the Detected Fill-Ups report shows a yellow warning icon. Hovering your cursor over the icon displays the reason why the system flagged the fill up.

When viewing details for a flagged fill-up, the details page shows rows marked in yellow where the fuel transaction details don't match the data from your GO device. This allows you to double check the provided details and determine your next steps.

Note: When reviewing fill-up data, you may also see a grey vehicle icon with a red location marker above it. This icon appears when an asset was using Restricted Data Mode during the specified time period. In these cases, the Detected Fill-Ups report may not include all details for the fill-up event.

Troubleshooting fuel usage calculations

If fuel usage appears inaccurate or is not being calculated, the vehicle may not support the required engine diagnostic.

If fuel usage appears inaccurate or is not being calculated, the vehicle may not support the Total fuel used (since telematics device install) diagnostic.

Check the Engine Measurements report (Maintenance > Measurements) to see if the vehicle supports the diagnostic.

Not all engine computers provide the detailed information needed to calculate all fuel consumption and fill-ups.
