Asset Utilization reports
Asset Utilization reports help fleet managers understand how assets are being used.
These reports answer questions like: "Which assets are used a lot?" and "Which ones are underused?" This helps fleets to make smarter decisions about right-sizing, asset reallocation, and asset retirement.
Which asset utilization report should I use?
The default Asset Utilization report is an excellent starting place. With the default report, you can:
Download the results displayed on the Asset Utilization page, with all of the same filters applied.
Add a histogram to your Dashboard, to show the distribution of vehicles by days, hours, or distance driven.
Set up recurring emails to deliver asset utilization reports to your colleagues.
Use the advanced Asset Utilization report when you need:
An emailed report broken up into subperiods. For example, utilization for each day in the past month, or utilization for each month in the past year.
An emailed report that combines utilization data (days, hours, distance) with events (stops in a particular zone type, preventable idling).

Downloading the Asset Utilization report

- Navigate to in the main menu.
- Under Filters:
- Select the groups you want to include in the report.
- Select the asset types you want to include in the report.
- Select the powertrain or fuel types you want to include in the report.
- Select the assets you want to include in the report.
- Select a date range for your data.
- Click Apply.
- Download the report in the format of your choice:
- Click to download the report as an Excel file.
- Click to download a PDF copy of the report.
Depending on the size of your report, it will take some time to generate. Navigate to to view its status.
Adding the Asset Utilization chart to your dashboard

You can add the Asset Utilization report to your Dashboard using the Adding Dashboard charts and Editing Dashboard charts workflows.
The first chart found in the Excel file will be added to the dashboard. For the Asset Utilization report, this is a Days Used histogram. If you want to use a different chart:
- Download the report template.
- Use Excel to edit the report template so that it contains only the chart you want to use.
- Save the template with a unique filename.
- In MyGeotab, navigate to in the main menu.
- Click + Report in the top toolbar.
- Select your new template.
- Locate the report on the All Available Reports page and select Edit report in the more actions menu.
- On the Dashboard tab, select + Create new chart.
- Configure the settings for your chart.
- Click Save.
Additional Asset Utilization report options
The advanced Asset Utilization report offers additional options that are not available when using the default report.
Sub-periods for emailed reports: You can choose sub-periods for your data for your emailed reports. If your date range is "last 12 months", you can expect the following behavior:
No subperiod: The Excel reports will contain one row per asset, showing the total usage over the past 12 months.
Daily subperiods: The Excel report will contain 365 rows per asset, showing how much the asset was used on each day in the reporting period.
Monthly subperiods: The Excel report will contain 12 rows per asset, showing how much the asset was used on each month in the reporting period.
- Rules: You can choose the rules associated with the event data you would like included in the Excel report. You can select up to 12 rules.Note: Event data appears on the Data tab of the Excel report, which is hidden by default. You'll need to unhide the Data tab to view your event data.
