Emailed reports

Emailed reports let you send specific reports to users on a set schedule.

You can set up reports in your database to be sent out via email to a list of recipients on a regular basis.

Emailed reports can be sent as PDF or Excel files. You can specify the interval at which they will be sent, and add recipients by group or individually. When adding recipients to a report, MyGeotab will automatically tally the number of recipients for the report, allowing you to prevent errors by inadvertently adding groups.

Note: Some reports are unable to be sent by email due to size. These reports must be downloaded directly from MyGeotab.

Setting up emailed reports

Learn how to set up a report to be emailed on a scheduled basis.

  1. Navigate to All Available Reports in the main menu.
  2. Locate the report you want to set up as an emailed report:
    • Filter the list using the Category pills.
    • Type the report name in the search bar.
  3. Click the More Actions menu button on your report and select Edit report.
  4. Select the Email report tab.
  5. Set Email options to On.
  6. Select recipients for the report from the Group recipient list and Individual recipient list dropdowns.
  7. Set Email the report to me to Yes if you want to receive a copy of the report.
  8. Set Redirect report to Yes if desired.
    1. If set to Yes, select users from the dropdown list to redirect the report to.
  9. Select whether you want to send the report as a PDF or as an Excel file.
  10. Select a date range for your data.
  11. Select a Refresh period. This determines how often the report will be emailed.
  12. Select the Next run. This determines the next time the report will be emailed.
  13. Select groups from the Belonging to dropdown list to determine the groups displayed in the report. The default is everything (data for all groups).
  14. Set the Additional Report Options. These options vary depending on the type of report you are configuring, and will determine the data that is included in your report.
  15. Click Save.
You can view the reports you have set up as emailed reports by navigating to Reports > All Available Reports and select Email in the All types dropdown at the top of the page.

Enabling emailed reports for users

Learn how to change user settings to allow users to receive emailed reports.

  1. Navigate to People > Users & Drivers in the main menu.
  2. Select the user you want to enable emailed reports for from the list.
  3. Click the System Communications tab on the User Edit page.
  4. Set Receive email reports to On.

  5. Click Save.
You can disable emailed reports for a user at any time by setting the same filter to Off.

Verifying emailed reports were sent

Learn how to check if an emailed report was sent out at its scheduled time.

  1. Click the Account icon in the top menu and select Audit Log.
  2. Under Filters:
    1. Select the date and time range that corresponds to when the emailed report should have been sent.
    2. Select Email sent as the Audit Type.
    3. Select All under Users.
    4. Click Apply.
If the email was sent, an entry will appear in the results list detailing the type of report sent, the time at which it was sent, and the recipients.

Opting out of emailed reports

Learn how to set your user preferences to opt out of emailed reports when you no longer want to receive them.

  1. Click the Account icon in the top menu and select Profile.
  2. Click the System Communications tab.
  3. Set Receive email reports to Off.

  4. Click Save.
You will no longer receive emailed reports. You can enable emailed reports again at any time by setting the same filter to On.
