Sharing asset locations

One-time location-sharing links let you share a vehicle's location and arrival time with clients who do not have access to your database.

Location sharing in MyGeotab gives you a way to share vehicle locations with clients who do not have database access. By using single-use links, you can give clients estimated arrival times and let them check a vehicle's location without giving them access to your account.

When you create a location-sharing link, you'll need to specify a few key details:

  • The date and time when the link will become active: After this time, the client can use the link to track the vehicle's location.

  • The data and time when the link will expire: After this time, the client can no longer use the link. This lets you control how long the client has access to the vehicle's location.

  • The vehicle's destination: This is the place where the vehicle will arrive. It's used to figure out an estimated arrival time. The link will expire when the vehicle leaves the destination.

  • A location radius: This is the distance at which the vehicle becomes visible to the client on the shared map. The radius works with the vehicle's destination to create a zone where the vehicle is visible to the client. This keeps clients from seeing the vehicle's location when they don't need to.

You can view asset location sharing links by navigating to Productivity > Asset Location Sharing in the main menu.

Creating single-use location sharing links

Learn how to create single-use location sharing links to share estimated arrival times with clients.

  1. Navigate to the Map feature in the main menu.
  2. Select the asset you want to create a link for and select Share on the asset information panel.

  3. Specify how long the link will be active for using the Live from and Expires after fields.
  4. Add a destination using the Destination search bar.
    Note: You can filter your search using the Zone or Address buttons.
  5. Verify the location radius. If you need to change the radius, click Edit radius and adjust the radius on the System Settings page.
    Note: Editing the location radius while creating a location sharing link will cause the form to reset. You'll need to navigate back to the Map page and make your selections again to create the link.
  6. Click Create link.
MyGeotab will display a success message with the sharing link. You can retrieve the link at any time by navigating to Productivity > Asset Location Sharing in the main menu and selecting the link from the list.

Deleting an asset location sharing link

Learn how to delete an active asset location sharing link.

You can terminate an active asset location sharing link before it expires by deleting it on the Asset Location Sharing page.
  1. Navigate to Productivity > Asset Location Sharing in the main menu.
  2. Select the link or links you want to delete from the list.
    Note: If you don't see an option to select items from the list, open the Select none dropdown at the top of the page and choose Select individual.

  3. Click Delete.
  4. Confirm your selection by clicking Remove link.

The request to delete the location sharing linking may take a few seconds. A notification banner at the top of the page will indicate your request is processing.

Modifying the location sharing link radius

Learn how to edit the location sharing link radius to control when clients can see your assets.

  1. Navigate to System > Settings in the main menu.
  2. Under the Maps tab, adjust the Location Sharing Radius slider or add a new value in the distance field.

  3. Click Save changes.
Note: The minimum radius is 1km (1 mi) and the maximum is 5000km (3100 mi).
