Getting started with Geotab Fleet Card

Get started with Geotab Fleet Card by submitting an application and setting up team access.

Start by completing the application. Once done, Geotab Fleet Card appears in the main menu to track the application status.

Once approved, complete these steps in order:

  1. User access: Update security clearances so each team member can access what they need.

  2. Spend policies: Set up custom spend policies to control what drivers can spend on and where.

  3. Order cards: Order additional cards, if needed. You can also issue virtual cards if a driver needs a card immediately in an urgent situation.

  4. Activate and assign cards: Activate cards and assign them to the appropriate driver, vehicle, or group.

  5. Apply spend policies: Apply a spend policy to a group or directly to a card, based on the card's assignment.

Applying for the Geotab Fleet Card

Before you begin: You must have the following:

  • Administrator access in MyGeotab

  • Business EIN

  • Business bank account login or 3 months of PDF bank statements downloaded directly from the bank

  • Personal details for the executive completing the application - legal name, date of birth, Social Security number, and home address

  • The same details for any co-owner who holds 25% or more of the business, if applicable

The application takes about 10 to 15 minutes. Progress saves as each step is done, so it can be left and resumed at any time. A credit check is required.

Getting started
  1. Navigate to any of the following pages.
    • Dashboard
    • Assets
    • Map
    • Fuel and Energy > Overview
    • Groups & Rules > Events
  2. Click Apply now from the banner.
    Result

    The Geotab Fleet Card page opens and the application begins. The page is now available from Geotab Fleet Card in the main menu at any time.

  3. Review and select both acknowledgements:
    1. Access to fleet data in MyGeotab for the card program
    2. Geotab Fleet Card Terms and Conditions
  4. Click Yes, I agree.
  5. Fill in details about your fleet such as business contact details, fleet size, and fleet type, then click Start application.

    You'll be prompted to verify your phone number to continue.

  6. Click Send code.
    Result

    A one-time code is sent to your business phone number.

  7. Enter the one-time code, then click Go to application.
    Note: Message and data rates may apply.
Complete the application
  1. Complete each application section by following the on-screen instructions. The application will prompt you for business, financial, ownership, personal, and shipping details.
  2. Review and accept the Terms of Service, then click Submit application.
  3. Create an account to manage the card program.

The application is under review. Progress can be tracked on the Geotab Fleet Card page.

Setting up user access to Geotab Fleet Card

Learn how to give team members access to manage the Geotab Fleet Card program in MyGeotab.

Administrators are given full access to Geotab Fleet Card once the application is complete. To give a team member access, update their security clearance.

To set up a new sub-clearance instead, see Creating custom clearances.

  1. Navigate to People > Clearances in the main menu.
  2. Select the custom clearance to update.
  3. Enable the View "Geotab Fleet Card" add-in feature.

    This allows the user to see Geotab Fleet Card in the main menu.

  4. Select one or more Geotab Fleet Card features based on the access needed.
    FeatureAccess
    Geotab Fleet Card - Primary AdminProvides full access to all features. The only role that can manage users and account settings.
    Geotab Fleet Card - Billing ManagerView billing, invoices, IFTA reports, and bookkeeping. No card or fleet access.
    Geotab Fleet Card - Card AdminAllows a user to manage cards, set spending limits, and handle disputes. Does not include billing or wallet access.
    Geotab Fleet Card - Card ManagerAllows a user to manage cards, drivers, and groups. Cannot set spending limits or order cards.
    Geotab Fleet Card - Fund AdminAllows a user to send money to saved recipients. Cannot add or change recipients or bank accounts.
    Geotab Fleet Card - Notifications OnlyAllows users to receive and manage their own notifications only.
    Geotab Fleet Card - ViewerAllows a user to view cards, wallet activity, IFTA reports, and the dashboard. Cannot make changes.
    Geotab Fleet Card - Wallet AdminAllows a user to view the wallet, send transfers, and manage bank accounts.
  5. Click Save.

All users with that clearance assigned now have access to the Geotab Fleet Card features that were enabled.
