Geotab Fleet Card overview

Geotab Fleet Card is a fleet expense payment solution. It's built into MyGeotab and uses vehicle data to manage fleet fuel spending.

Administrators issue cards to individual drivers and manage the program in MyGeotab. Drivers interact with their card through the Geotab Drive app. The card is accepted at fuel stations and other merchants, such as maintenance, parts, car washes, and more. There are no card fees or setup costs.

Note: Geotab Fleet Card purchases do not appear on the Fuel Transactions page. Geotab Fleet Card is a payment card issued by Geotab. It is separate from third-party fuel card integrations, such as WEX or EFS. To learn how to import third-party fuel card data into MyGeotab, see Fuel Transactions.

Key features

Fraud prevention

Drivers unlock the card through the Geotab Drive app before fueling. The system checks that the vehicle is at the pump before the transaction goes through. Administrators can set rules on each card to manage what drivers can use it for.

Fuel savings

Drivers get access to lower fuel prices at thousands of in-network stations. Truck diesel average savings are 42 cents per gallon, and unleaded gasoline average savings are 5 cents per gallon.

MyGeotab integration

Geotab Fleet Card is managed in MyGeotab. Administrators can order additional cards, set spend controls, assign vehicles or drivers to a card, and track spending, all in one place. IFTA reporting is built in as well.

Card acceptance

Currently, only customers based in the United States can receive a Geotab Fleet Card. Cards can be used at participating fuel stations and other eligible merchants in the United States and Canada.

Geotab Fleet Card eligibility

Geotab Fleet Card is open to eligible fleets. Administrators can apply and get started in MyGeotab.

Geotab Fleet Card is currently open to customers who meet all of these criteria:

  • Based in the United States

  • Operating a commercial fleet

Application process

  • Administrators can apply. Other users will see a message that they do not have access.

  • The application must be completed by an owner or executive with significant control of the business.

  • A credit check is part of the process. Cards are shipped upon approval. Virtual cards may be used temporarily if needed.

Geotab Fleet Card security clearances

Security clearances control who can access Geotab Fleet Card and what they can do on the page.

By default, Geotab Fleet Card access is available only to users with the Administrator clearance. To grant other users access to specific Geotab Fleet Card features, an Administrator must update an existing custom clearance or create a new sub-clearance, then select one or more of the Geotab Fleet Card clearances listed:

  • View "Geotab Fleet Card" add-in: Allows the user to see Geotab Fleet Card in the main menu.

    Note: This must be enabled for each custom clearance along with any of the below security clearances for the user to see the Geotab Fleet Card page in MyGeotab.
  • Geotab Fleet Card - Primary Admin: Provides full access to all features. The only role that can manage users and account settings.

  • Geotab Fleet Card - Billing Manager: View billing, invoices, IFTA reports, and bookkeeping. No card or fleet access.

  • Geotab Fleet Card - Card Admin: Allows a user to manage cards, set spending limits, and handle disputes. Does not include billing or wallet access.

  • Geotab Fleet Card - Card Manager: Allows a user to manage cards, drivers, and groups. Cannot set spending limits or order cards.

  • Geotab Fleet Card - Fund Admin: Allows a user to send money to saved recipients. Cannot add or change recipients or bank accounts.

  • Geotab Fleet Card - Notifications Only: Allows users to receive and manage their own notifications only.

  • Geotab Fleet Card - Viewer: Allows a user to view cards, wallet activity, IFTA reports, and the dashboard. Cannot make changes.

  • Geotab Fleet Card - Wallet Admin: Allows a user to view the wallet, send transfers, and manage bank accounts.
