Investigations

The Investigations feature is a case management system built directly in MyGeotab to help you manage investigations into fleet incidents from start to finish.

The Investigations feature in MyGeotab is designed to help you manage incidents, claims, and complaints. It helps you find out what happened, pull together relevant evidence, and keep everything organized for potential legal, insurance or compliance purposes. It gives you a dedicated workspace to examine what happened during an incident and store supporting evidence in a centralized view.

Each investigation is a persistent case that can be opened, updated, and revisited as needed. Cases can be closed or archived once resolved, maintaining a complete record for future reference. Activity within an investigation is also tracked, producing a record that can be used to support insurance claims, respond to legal disputes, or demonstrate regulatory compliance.

The Investigations feature includes the following capabilities to support each stage of your workflow.

Search and identify involved vehicles

When you need visibility into what happened in a particular location, you can search a defined area and time window for vehicle activity. Results include exceptions relevant to the incident, such as speeding, harsh braking, and collisions, without needing to run multiple reports.

Build and document the case

Users can attach notes, images, documents, and short videos directly to the investigation. Exception data is included alongside the attached evidence, giving a complete picture of what the vehicle was doing in the moments before and after the incident.

Track status and manage workflow

Investigations have a status (open, closed, or archived) that you can update as work progresses. Quick filters make it easy to find and manage your active cases.

Control access to sensitive cases

Access clearances (Viewer, Editor, and Admin) allow you to control who can see or contribute to a case. This allows you to keep sensitive information appropriately protected.

Investigations page overview

The Investigations page lets you track all of your investigations in one centralized place in MyGeotab.

The Investigations page gives you a central view of all investigations in your database. The table surfaces key details about each investigation, and cards at the top of the page allow you to quickly sort results to find what you’re looking for.

The table shows the following information:

  • The name, creator, and creation date of the investigation

  • The date range involved in the investigation

  • The investigation status (Open, closed, or archived)

  • A description of the investigation

To help keep the page clean and current, you can filter results based on the status of the investigation. You can also click the cards at the top of the page to quickly surface open or recent investigations.

Creating an investigation

Learn how to create an investigation in MyGeotab to begin gathering evidence and saving it in one place.

  1. NavigateProductivity > Investigations to in the main menu.
    Note: You can also open an investigation directly from the Area Activity feature.
  2. Click Create Investigation in the top toolbar.
  3. Create a Name and Description for your investigation.
  4. Select a Date Range for the investigation.
  5. Define your area for the investigation by clicking with the cursor and selecting an area on the map.
  6. Click Save.
You’re taken to the details page for your investigation immediately after saving.

Adding evidence to an open investigation

Learn how to add evidence, such as activities, documents, and comments, to an open investigation in MyGeotab.

  1. Navigate to Productivity > Investigations in the main menu.
  2. Select the investigation you want to add evidence to from the list.
  3. Use the Activities tab to redefine the area activity associated with the investigation:
    1. Click and drag the edges of the area on the map to resize the selected area.
    2. Use the Groups, Assets, and Drivers filters at the top of the page to filter activity in your selected area.
    3. Click Save current filters to confirm your selections.
  4. Use the Documents tab to add files to the investigation by dragging and dropping files from your device into the upload box.
  5. Use the Comments tab to add comments to the investigation:
    1. Use the New comment box to add a comment.
    2. Optional: Add a link to your comment by selecting the Link button and adding the display text and link.
    3. Click Save.
Documents added to investigations can be removed at any time. Comments added to investigations are permanent and cannot be deleted.

Editing investigation details

Learn how to edit the details of an open investigation.

You can edit your investigation’s name, date range, description and area at any time.
  1. Navigate to Productivity > Investigations in the main menu.
  2. Select the investigation you want to edit from the list.
  3. Click Edit Investigation in the top toolbar.
  4. Use the Name, Date Range, and Description fields to edit the investigation information.
  5. Resize the investigation area by clicking and dragging the edges of the highlighted box on the map.
  6. Click Save.

Closing an investigation

Learn how to close a completed investigation in MyGeotab.

Once an investigation is complete, you can mark it as closed in MyGeotab to help keep your Investigations page clean and current.
  1. Navigate to Productivity > Investigations in the main menu.
  2. Select the investigation you want to close from the list.
  3. Click Open at the top of the page to open the investigation status dropdown and select Mark as Closed.
You can reopen a closed investigation at any time by selecting the same dropdown and clicking Mark as Open.

Archiving an investigation

Learn how to archive a completed investigation in MyGeotab.

Investigations marked as archived are automatically filtered from view on the Investigations page.
  1. Navigate to Productivity > Investigations in the main menu.
  2. Select the investigation you want to archive from the list.
  3. Click Open at the top of the page to open the investigation status dropdown and select Archive.
You can reopen or close an archived investigation at any time by selecting the same dropdown and clicking the relevant option.
