Managing assets

Learn how to manage your assets and asset types. This includes adding, editing, removing, and archiving assets.

Managing assets in MyGeotab provides fleet operators with several flexible ways to add, update, and organize vehicles and equipment. Single assets can be added manually. For bulk entry, users can add up to 15 assets quickly using the Quick Upload feature or upload large lists using a template XLSX file.

For maintenance, assets can be edited via the Asset Details page. To remove assets, users can choose to archive the asset, which saves its historical data for reporting, or delete it to remove all associated data permanently.

Adding a single asset

Add assets one by one to give you the most control over their settings.

  1. Select Assets in the main menu navigation.
  2. Select + Asset > Single asset.
  3. Enter information about your asset:
    1. Asset name: The name you want to use to identify this asset. This is required for all assets.
    2. Serial number: The 12-character serial number of the GO device. This is required for all assets with GO devices.
    3. VIN: The vehicle identification number (VIN) of your vehicle. This is required for all assets with OEM Telematics devices.
    4. Asset type group: A group that helps you sort your assets into types like container, equipment, trailer, vehicle, or a custom type.
    5. Groups: The groups you want to link to the asset.

  4. Click Save asset.
Saving an asset with only an asset name adds an untracked asset for you to edit later.

Adding multiple assets

Adding more than one asset at the same time allows you to quickly and easily populate your database.

  1. Select Assets in the main menu navigation.
  2. Click + Asset > Multiple assets.
  3. Click Download sample file and follow the template to add the assets you want to upload.
  4. Drop the XLSX file you created in the Drop file here field to upload multiple assets at once.

  5. Click Next.
  6. Review all assets identified in the upload process. If needed click the Download error file button to review your file and correct errors before uploading it again.

  7. Click Save all assets.

Adding multiple assets with Quick Upload

The Quick Upload feature allows you to quickly add assets by copying and pasting them from another file.

You can add up to 15 assets at the same time using the Quick Upload feature. All assets must be the same asset type and assigned to the same group.
  1. Select Assets in the main menu navigation.
  2. Select + Asset > Multiple assets.
  3. Click Quick upload.
  4. Select the Asset type group for your assets in the dropdown menu.
  5. Enter the assets' information, following the provided format examples.

  6. Click Continue.
  7. Review all assets identified in the upload process and correct any errors.

  8. Click Save all assets.

Editing assets

Learn how to edit your assets using the Asset Details page.

  1. Select Assets in the main menu navigation.
  2. Find the asset you want to edit in the asset list:
    • Search for the asset by name using the search bar.
    • Open the Filter to filter the list by group, asset type, or status to see groups of assets.

  4. Make your desired changes.
  5. Click Save.
Most edits, such as changing an asset's name, are immediately available in MyGeotab. In instances where changes may take time to process, such as assigning a new driver, a notification banner will let you know that your changes are queued for processing.

Deleting assets

Learn how to remove assets from your database by deleting them.

When you delete an asset, all its data is permanently removed. If you want to keep your asset data, you can archive the asset instead of deleting it.
Note: Deleting an asset does not automatically stop billing. Contact your Partner to make these changes.
  1. Select Assets in the main menu.
  2. From the assets list, select the asset you want to remove. You can remove multiple assets at the same time.
  3. Click Delete in the top menu.

Deleting an asset from your database does not automatically deactivate billing. Please contact your Partner to make the appropriate billing changes.

Archiving assets

Learn how to remove assets from your database by archiving them.

Archiving an asset removes it from your list of active assets. This allows you to save the asset's past data for accurate reports. You can reactivate the asset at any time to add it back to your active list..
  1. Select Assets in the main menu.
  2. From the assets list, select the asset you want to archive. You can archive multiple assets at the same time.
  3. Click Archive in the table menu.

Archiving an asset from your database does not automatically deactivate billing. Please contact your Partner to make the appropriate billing changes.

Restoring archived assets

Learn how to restore an asset that was previously archived.

  1. Click Assets in the main menu.
  2. Open the Filters and select Show archived.
  3. Select the archived asset you want to restore from the list.
  4. Select Asset options > Restore asset.
  5. Enter a Device serial number.
    Note: If you want to restore the asset as an untracked asset, click Without device.
  6. Click Restore.
Your asset will now appear on the Assets as an active asset.
