Asset inspections (Beta)

Asset inspections help you track the health of your vehicles and trailers.

Note: This article is about the beta Asset Inspections feature. For the current Asset Inspections feature, see the Asset Inspections help article.
Note: Beta features must be enabled by an administrator in your database before you can access them in Geotab Drive. If you don't see the Inspections menu item in the app, reach out to your administrator to enable the feature.

The Inspections feature lets you flag any mechanical defects or safety hazards in a vehicle or asset that could lead to breakdowns, accidents, or regulatory violations. You can use customized templates provided by your administrator to perform inspections on a wide range of asset types, including vehicles, trailers, equipment, and containers.

The Inspections feature is accessed on the Dashboard.

Performing an inspection

Learn how to perform an asset inspection in Geotab Drive using the Inspections feature.

Note: The Inspections feature is currently in beta. To ensure that you maintain compliance, we recommend continuing to use the standard Asset Inspections feature alongside the beta version until full release.

You can save your progress at any point during an inspection and resume later.

  1. On the Dashboard, tap Inspections.
  2. Select the asset you want to perform an inspection for.
    Tip: The app displays your assigned assets at the top of the screen, as well as a list of nearby assets below. If you don't see the asset you're looking for, use the Search bar to find it.
  3. Select an inspection checklist from the Select checklist dropdown.
  4. Select an inspection type from the Select inspection type dropdown.
  5. Tap Inspect.
  6. Walk around the vehicle and check each item in the checklist:
    1. Tap the green check icon if the item passes inspection.
    2. Tap the red X icon if a defect is present.
    3. Add a photo of the defect by tapping the camera icon for that item and choosing whether to take a new photo or uploading an existing photo.
    4. Add a remark to the item about the defect.
      Note: Your administrator can choose to make photos or remarks mandatory. Required items are marked with a red asterisk.
  7. Once you've reviewed all items, tap Review & Sign.
  8. Confirm that the vehicle is safe to operate by clicking the Safe to operate checkbox. Leaving the box unchecked indicates that the vehicle is unsafe.
  9. Certify the inspection by clicking the certification checkbox.
  10. Optional: Add a certification remark.
  11. Tap Submit.
    Note: If you have any missing required fields, you'll be prompted to complete them before you can submit the inspection.
You'll receive a confirmation if your inspection was submitted successfully. If you have linked assets associated with your primary asset, you'll be prompted to inspect them as well. You can choose to proceed with the inspection, or tap Skip amd exit to return to the Dashboard.

Resuming saved inspections

Learn how to access inspections you've saved in Geotab Drive to complete them.

  1. On the Dashboard, tap Inspections.
  2. Tap Incomplete at the top of the screen.
  3. Select the inspection you want to resume from the list.
    Note: Each saved inspection shows a progress bar for how much of the inspection was completed before saving, as well as the time when it was saved.
You can delete a saved inspection if you no longer need to complete it by tapping the More actions menu button and selecting Delete. Deleting saved inspections is permanent and cannot be undone.

Viewing previous inspections

Learn how to view previous inspections you've completed in Geotab Drive.

  1. On the Dashboard, tap Inspections.
  2. Tap History at the top of the screen.
  3. Select the inspection you want to view from the list.
    Note: You can filter the list of completed inspections by tapping the Filter icon. Available filters include status, date, the template used, and whether or not the inspection included defects.
When viewing an inspection, the inspection status is listed in the top right corner of the screen.
