Odometer entry on Defect/Inspection Reports

Hi,
We have a number of untracked assets and have our drivers/operators manually entering the odometer/hrs when completing a pre-start inspection. While the reading comes through on the inspection report, it doesn't appear to populate anywhere else in the platform. When in the "Work Order Management" screen, the "Current Odometer" field remains blank which isn't allowing us to predict preventative maintenance without setting up external reporting. Is there a fix to have the "Odometer" field from a pre-start communicate with the "Current Odometer" field in Work Order Management?

The first step is to check that your units are actually giving the odometer reading.

What I can suggest is that, if possible, you compare the odometer reading with each ignition of the units.

The issue is that the untracked units don't have trackers in yet, the odometer reading is being reported by the operator on a pre-start "defect list".

To best help you, can I confirm I have all of the details correct: Your drivers are using the Drive App to do pre-start inspections on assets that do not have GO Devices installed. The odometer data they are entering in the odometer field shows up on the Inspection Report but not on the Work Order Management screen in MyGeotab, and you are asking how to get the odometer data from the pre-inspection to show up on the Work Order Management screen automatically?

@tanyamain I did a little research myself and could not find anything so I've asked our internal team for insights on if this is possible and how to implement it. I'll follow up as soon as I hear back.

Additionally, @EishiFUN returns from his time off tomorrow and might already know if this is possible!

Hi @tanyamain , thanks for confirming the details.

The odometer entered during a pre-start inspection is saved with that inspection record, which is why it appears on the Inspection Report. It does not automatically update the asset's underlying odometer or the Current Odometer value used by Work Order Management.

For untracked assets, you can manually update the odometer from the asset record:

Assets > select the asset > Usage > Odometer

This should be maintained manually at a cadence that works for your operation. For example, you could update it whenever a pre-start inspection is completed or whenever the operator provides a new verified reading. Keeping this value current is important because distance-based maintenance schedules rely on the asset-level odometer, not the odometer stored on an inspection.

You can also manually enter or update the odometer reading on a work order when recording maintenance activity. That reading is part of the work-order history and should reflect the odometer at the time the work was performed.

If the Current Odometer field remains blank after updating the asset record, that would need to be investigated separately as a Work Order Management synchronization or maintenance-calculation issue.

Hi @EishiFUN ,

Thanks so much for the confirmation, I wasn't sure if this was meant to be carrying across or not. We currently have 200-300 untracked assets, so I'm just wondering if there is any type of work around at this stage rather than a manual update of each asset. I'm sure when I was playing with the beta features this somehow updated asset records, but I may be wrong.

Hey @tanyamain I am not familiar with this being part of the original beta but I did confirm with the product manager that if the Odometers are not tracked then we cannot assume or pull odometer into the asset page.

Hi @EishiFUN,
Thanks for confirming, I might just set up an external report that matches the odometer from the pre-start inspections and compares it against service due dates as a quick fix for our untracked plant.
