ReimburseEV™ FAQ
What is ReimburseEV™?
MoveEV's proprietary ReimburseEV™ software was designed by a team of mobility and reimbursement experts to make reimbursing employees driving electric fleet vehicles for the real costs of charging at home simple, accurate, and compliant. ReimburseEV™ calculates the appropriate monthly reimbursement and generates IRS- and CRA-compliant digital receipts, employee payments, and peace of mind.
Does ReimburseEV™ require a specific charger?
No, ReimburseEV™ is compatible with all types of home chargers, including Level 1 "trickle", Level 2 non-networked, and Level 2 "Smart" chargers, making it a versatile solution for home charging reimbursement.
How is ReimburseEV™ integrated with Geotab?
ReimburseEV™ uses Geotab to accurately capture the charging data (kWh) that went into a vehicle while at an employee’s home over the course of the month. As a Marketplace Partner, we also share data back to the Geotab ecosystem to give administrators more insight into their EV fleet operations through the Geotab platform.
Do drivers need to share their personal electric utility company login information?
No, drivers do not need to share their personal utility login credentials. Instead, they can simply take a photo of their utility bill and upload it to our system for reimbursement calculation, ensuring their privacy and security.
Do you offer other integrations?
Yes, ReimburseEV™ supports integrations with various expense management platforms like Concur, and we also offer custom integration solutions tailored to your organization's needs.
Can you pay employee reimbursements directly?
Yes, we can process all of the reimbursement payments on your behalf. Our DirectPay service allows organizations to pay a single “reimbursement program” invoice each month and then MoveEV handles the individual payouts to drivers. We now offer DirectPay Express, as well, for those who would like to use a credit card to cover driver payments. Contact us for more information about these services.
What are the top four features of ReimburseEV™?
- IRS- and CRA-Compliant Receipts: ReimburseEV turns electricity use and charging data into detailed IRS- and CRA-compliant receipts, capturing each at-home charging session separately. This ensures transparency and compliance for tax purposes.
- Simple Setup and Use: Employees can easily set up their accounts and start getting reimbursed with just a few clicks. They simply log in monthly and upload their utility bill with one click.
- Real-Use Calculations: The software calculates appropriate monthly reimbursements based on actual home electricity usage. It does not rely on regional rates or averages and accurately accounts for time-of-use plans, tiered plans, net metering, taxes, fees, and more.
- Convenient Admin Portal: Companies can manage all receipts, track program metrics, and generate reports for easy tax filing through the admin portal. This central management system simplifies oversight and streamlines operations.
Does charging at home save money?
Yes, charging at home is typically 30%- 60% cheaper than public charging, particularly if done during off-peak hours. It also saves employees time, as vehicles can be charged overnight.
Why is accurate reimbursement important?
Ensuring precise reimbursements is crucial for fiscal efficiency and legal compliance. Accurate reimbursement avoids over-compensation, which is taxable, and under-compensation, which can lead to class action lawsuits, such as under California's Labor Code Section 2802.
Do you offer pilot programs?
Yes, we offer pilot programs to help you evaluate our service. Contact us to discuss how we can tailor a pilot to your organization's needs.
