Empower your drivers with confidence in compliance. This hands-on Learning LIVE! session focuses on the driver experience with the Geotab Drive App, ensuring your drivers stay compliant and on the road with minimal friction.
What You’ll Learn:
- Best practices for logging in and navigating the Geotab Drive App
- How to manage duty status changes accurately and efficiently
- How to perform Asset Inspections (DVIR) directly from the app
- How to handle malfunctions and diagnostics to stay compliant on the road
FAQs:
- 1. Q: Does the driver need to have an email address? Or can they be a user like user1 without needing a domain like @company.com?A: The best practice here is to give a driver an email address but doesn't need to be. It does need to be unique though
- 2. Q: If we have a rental truck with no geotab, are we able to manually enter details ?A: You should be able to get the data shared to your database from the rental fleet depending on who you are renting from. This can be set up through that rental fleet and Geotab support can help with this as well.
- 3. Q: We have techs that will be in a non-DOT truck but then switch to a DOT truck. Will they have to do logs for the full day? I had a tech log in but did not drive a DOT and it asked for logs.A: If HOS is set up for a vehicle it will always create logs when it is moved per regulations. If the vehicle has logs that dont belong to any driver these need to be annotated explaining what happened. I would talk to your local FMCSA to get their help understanding how they expect these situations to be handled.
- 4. Q: Do you need to do an inspection every time you log in the same day (same driver)A: Here is a link to the regulations on completing DVIRs: https://www.ecfr.gov/current/title-49/subtitle-B/chapter-III/subchapter-B/part-396/section-396.11#p-396.11(a)(2)(i)
- 5. Q: where does the admin see the messages and if i find issues how is that reported to my admin?A: There is a message section in MyGeotab. You can search messages in the search bar on the top left of MyGeotab
- 6. Q: Is YM Federally regulated or Provincially regulated in Canada?A: It depends on the kind of driving being done by the vehicles. I would reach out to your local authority to get their clarification for the kind of driving your fleet is doing
- 7. Q: I have found the DVIR rule set doesn't work all the time. It misses inspections that haven't been done. Is there more training on this?A: We will take that feedback for the next learning lives we do that include rules like this. If you have specific questions or run into issues feel free to reach out to our community or support and we will be happy to take a look at it
- 8. Q: When multiple drivers log in to the same truck, do all drivers need to submit a pre-trip inspection, or can they use the first inspection in the morning for the first 24 hours?A: When drivers are logging into the same truck they are both logged into the same app together to do the co-driving. My suggestion is to make sure you are clear on what the DOT expects in these situations by talking to your local authority about this.
- 9. Q: Being a smaller company, we do inspections on our vehicles on Fridays (they are not semi-trucks) is there a way to set it up so they have to do this or are prompted to do inspection on FridaysA: No there is not a way to rules for certain days of the week at this time
- 10. Q: Where can drivers see any infractions they've occurred like speeding, braking, etc? Do they have access to that information somewhere? Thank you!A: Drivers could look in MyGeotab under the exception reports if you give them access to this. Or reports could be made for them and given to them via email or other methods
- 11. Q: Our company falls under the construction ruleset. It has a 24 hour reset. Quicker way to log on and off that is constant during the day as some fleet vehicles are only in HOS when attached to a trailer?A: Whether logged in or out the vehicle is creating HOS logs regardless anytime it is moved if HOSis turned on. If you are not sure about how the DOT expects your logs to be handled in these situations I would talk your local authority to get their guidance.
- 12. Q: I have drivers getting stuck in drive mode. Why is this happening and what can be done to stop it from happening?A: This is typically a support issue and can be caused by a few things. If you have this happen please reach out to support for them to advise the solutions depending on your situation
- 13. Q: On the Canadian ruleset, there is a rest required and off duty required. Can you please explain how those work as we have drivers who end their day not in violation, but when they start the next day, it puts them in an off duty violation for the previous day.A: I would make sure their start of day is set correctly. Here is also a link to a detailed breakdown of how the ruelset work in Canada: https://www.cvse.ca/national_safety_code/pdf/hos_service_rules.pdf
- 14. Q: The dash board Lisa is showing has Trips tile, is that an Add-In?A: No this should be something your drivers can see in the Drive app
- 15. Q: How do you turn off/disable the SB button on the Drive APP, so drivers cannot see it?A: There is not a way to remove this button at this time.
- 16. Q: When switching trucks during the same day, does the driver need to postrip logoff then log back on. what is the easiest way to switch trucksA: In Geotab Drive drivers have the ability to click on the vehicle they are driving on the dashboard and change vehicle there. You do not need to log in and out of the app to do this
- 17. Q: Does it give 2 more hours on 14 on 2 hours on 11 for adverse conditions.A: When you use Adverse driving conditions you may drive up to 2 extra hours and work an extra 2 hours to complete what could have been driven in normal conditions.
- 18. Q: Can you enable and disable split sleeperA: Yes this is done by the ruleset the are assigned to: Hours of Service rulesets
- 19. Q: If yard move is on for the user, do they have to enter a yard move manually or is it automatic?A: This is manually done
- 20. Q: I have a mix of drivers and vehicles. Not all vehicles are required to have an ELD but do still need HOS logs. Is it possible to add drivers and vehicles that are not linked to an ELD but still need to have a RODS and Pre-Trip Inspections?A: If the vehicle does not have an ELD then it will not be able to make any logs or do inspections.
- 22. Q: Is there a way to set up a "technician" profile for test drives and vehicle transfers that locks an exempt status?A: From my understanding this is against regulations but I would encourage you to confirm this with your local authority
- 23. Q: Can drivers edit PC? If so, how do they do it?A: They can annotate these logs if needed by going to logs and clicking on the PC log and adding an annotation
- 24. Q: Can an admin edit PC?A: You can annotate these logs when you click on them there should be the option at the bottom
- 25. Q: Can you edit person conveyance and yard move to sleeper to drive from customer ta truck stop 5 minutes away to link the 3 hours in sleeper at customer and complete a 10 consecutive hour breakA: No, there is not a way to do this at this time.
- 26. Q: Our team doesn't always have their trailer hooked up and will use the truck for every day driving. It's a bit of a different situation, should you still put limits on the PC for this?A: I think this is up to you. If the vehicle has HOS turned on it will always make HOS logs when moved. If you are unsure how these logs should be handled I would suggest consulting your local authority on their expectations in this situation.
- 27. Q: Will log out remove the Co-driver and can the Co-driver see it in their app?A: The driver and co driver will both be logged into the same app together so they will not see anything on their phone or tablet
- 28. Q: We have our PC limit set for 30 miles, yet our drivers can disable the allowance at any time. Will Geotab ever go back to the feature that will auto trigger drive time as the daily allowance has been exceeded?A: I can't say whether we will or not but we understand the pain point. Our goal in the design of using HOS is to operate to the letter of the law as specified by the governing authorities
- 29. Q: Some newer semi truck manufacturers offer Geotab OEM Integration, will that work with ELD or will a GO Device always be required for ELD compliance?A: Yes in the US there are several OEMs Geotab partners with that are certified for ELD! Not every OEM is and I am not aware of any currently in Canada but that is also subject to change in the future. FMCSA Registered Devices List
- 30. Q: Is it necessary for the driver to share location in the Driver App?A: Yes! This helps the ELD find the nearby vehicles to assign in the Drive app
- 31. Q: Does the Ford OEM integration support ELD?A: Yes it is, you can find all supported OEMS in this list. Ford is under Geotab Drive for Ford Trucks FMCSA Registered Devices List
- 32. Q: For a smaller business that is not a semi can this still be useful?A: This solution was built for Compliance but if you would like to track your drivers on duty and driving time this could be helpful
- 33. Q: What are the conditions that make the app prompt them for unidentified logs? Do they have to login and select that same vehicle within the day the unidentified logs took place? Will it not prompt them if they select a different vehicle the following day?A: Every time the vehicle is assigned to a driver it will prompt them again to select those unidentified logs
- 34. Q: How to export a list of your defects from a Pre/Post Trip inspection in My Geotab?A: If you pull up the inspection in MyGeotab there is a print button that if you press will allow you to save the defects as a pdf
- 35. Q: Where do unverified logs show up in the app?A: The driver should be prompted once they login to the vehicle. Also if they go to their logs under the HOS section there should be a banner at the top of the logs that says you have uncertified logs that require action
- 36. Q: how do an admin find the time taken to do the pretrip inspectionA: If you go to Maintenance>Asset Inspection>Select the date and truck you can choose an inspection and find the duration as one of the top line items
- 37. Q: Is there a way for a driver to change the time of an inspection? Example we an issue with logging in so the driver cannot complete the inspection but later on we get them logged in. Can they back time an inspectionA: There is not a way to edit the time it was done but you can add any notes like that into the remarks
- 38. Q: Can you do a in trip inspection during your 30 minute breakA: No, doing a DVIR puts you into an ON duty status. 30 minute break should be no work being done at all.
- 39. Q: where do I go in the admin portal to turn on yard move?A: You can find it in the HOS Settings tab of a user profile by going to People > Users and Drivers > Select user
- 40. Q: How does a driver choose PC on the Drive APP?A: If they have it available to them they can use it on the HOS page under the view exemptions button
- 41 Q: With the new HOS email delivery update, could it also be used to send it to the designated officer? A:There is an expected method to transfer logs to the Officer that fall under compliance.
ELD Training for Administrators
- Air Date: May 20, 2026
- Hosts: and
- Recording Link: ELD Training for Administrators
A comprehensive guide to compliance management for fleet administrators. This essential Learning LIVE! training covers the administrative side of Hours-of-Service (HOS) and Electronic Logging Device (ELD) regulations.
What You’ll Learn:
- How to manage driver logs and ensure accurate record-keeping across your fleet
- How to resolve log exceptions and handle unassigned driving events
- How to generate audit-ready reports for regulatory compliance
- How to maintain fleet-wide HOS and ELD compliance using the MyGeotab platform
FAQs:
- Q: How do I enable alerts for vehicle movement without a pre-trip?A: You can set this up through Groups and Rules > Rules and navigate to the compliance section towards the bottom. You will see a rule for Pre-trip missing. Add your email under Notifications (Envelope icon) to receive the alert.
- Q: What is the protocol for subcontractor maintenance road tests?A: There are different ways to go about this such as annotating the unidentified driver log. This question can fall under legal advice so in this situation I would suggest getting clarification from your local authority on the way they expect these to be handled.
- Q: Can the 75km PC limit be adjusted by province?A: The 75 km Personal Conveyance limit is set either on a database level through system settings in the HOS tab or by driver in the HOS setting of their user profile. This limit can be customized however you would like but there is not a way for this to be tied to location and dynamically change based on where they are today.
- Q: Is storing driver license numbers in Geotab a legal requirement in Canada?A: Please reach out to Transport Canada for clarification on this requirement.
- Q: How can drivers email logs to themselves?A: Drivers can email their logs to themselves via the Geotab Drive app: tap the More menu > Email Logs > enter the email address and date range then hit send. The system will send a PDF copy of their HOS logs.
- Q: Can you review ignored logs?A: The easiest way to do this is to pull up the drivers logs and then filter for annotations using the with annotation option. All ignored logs need to have an annotation so they will all come up when that filter is applied.
- Q: Where is the fleet optimization setting for unassigned driving?A: The Fleet Optimization view for unassigned driving is found under Compliance > HOS > Unidentified Driving. You can filter by date range and group, and use the bulk edit feature to assign trips to drivers.
- Q: How can admins reset driver passwords or retrieve login details?A: Admins cannot retrieve driver passwords (they are encrypted), but you CAN reset them. Go to Administration > Users > select the user > click Reset Password. The driver will receive an email with a reset link. You can also temporarily set a new password directly from that user's profile.
- Q: Why is the inspection rule missing notifications?A: The Inspection rule is missing the notifications option because notifications are configured through Exception Rules. To get alerts when a DVIR inspection has a defect or is missed, go to Rules > select the relevant Inspection exception rule > Notifications tab and add yourself as a recipient.
- Q: Why am I not receiving admin notifications or alerts?A: Admin notifications and alerts are configured per rule. Go to Rules > select the rule > Notifications tab > make sure your email is listed and the desired delivery method (email, popup, text) is enabled. Also check that your email is verified under your User Profile.
- Q: Why do stationary trucks show incorrect movement/location jumps?A: Location jumps on stationary trucks are typically caused by GPS signal interference (parking garages, dense urban areas, near tall buildings). If you see consistent issues, check the GO device installation.
- Q: Is there a plan to consolidate vehicle moves in the unassigned drive time view?A: The Unassigned Driving consolidation view is on the product roadmap. In the meantime, you can use the bulk edit feature on the Unidentified Driving page to select multiple trips and assign them to a driver at once, which streamlines the cleanup process.
- Q: Can quick reference ruleset info be added to the driver app?A: Drivers can access quick reference ruleset info in the Geotab Drive app under Settings > HOS > Ruleset Information. This shows their current limits and remaining time. For more detailed reference, the FMCSA app and Geotab's driver-facing training materials are good supplements.
- Q: How do I manually move a driver to off-duty status when the ELD is stuck in Drive?A: If the ELD is stuck in Drive status, the driver can manually change their status via the Geotab Drive app: tap Status > select Off Duty (or appropriate status) > enter annotation if required. If the app is unresponsive, log out and back in. As an admin, you can also edit the log on their behalf through Compliance > HOS Logs > Edit.
- Q: Does the ruleset take into account the time the concrete pump stays on while pouring at a job site?A: MyGeotab uses the rulesets defined by FMCSA and CCMTA, which include provisions for stationary equipment operation. The ELD will record driving time based on vehicle movement, so time spent stationary (with engine on for the pump) is typically captured as On Duty Not Driving rather than Driving. Drivers can annotate logs if the status needs clarification.
- Q: How do I filter the ELD Validator for only active CMV drivers?A: To filter the ELD Settings Validator for only active CMV drivers, use the Groups filter on the validator page and select only the group containing your CMV drivers.
- Q: Why are many features available only via the Marketplace instead of being standard?A: Features in the Marketplace are typically add-ins built by Geotab or third parties to extend the platform without bloating the core product. Standard features are kept lean to ensure performance and broad usability. Add-ins let you customize MyGeotab to your specific needs without paying for features you don't use. Most Geotab-built add-ins are free.
- Q: Can we delete ELD data for a driver who didn't log in?A: ELD data cannot be permanently deleted by an admin because of FMCSA record retention requirements, but if a driver didn't actually log in, the trips will appear as Unidentified Driving rather than under that driver's account. You can annotate them with an explanation.
- Q: Do driver messages go to their email or the app?A: Driver messages sent through MyGeotab are delivered to the Geotab Drive app on the driver's phone or tablet, not to their email. Drivers will see a notification in the app and can reply directly from there. Message history is visible in Productivity > Messages.
- Q: Where is the duty status logs page located?A: The Duty Status Logs page is at Compliance > HOS > Driver Logs. From there you can view, edit, and annotate individual driver logs. The Beta version offers an updated layout if you have Beta features enabled in your User Profile.
- Q: Does personal conveyance apply only to tractors without trailers?A: Personal Conveyance eligibility depends on the ruleset you have configured and your company policy. The Geotab system will apply PC rules based on the ruleset selected for that driver/vehicle combination. For specifics on what qualifies as eligible PC use, please refer to your company's compliance policy and FMCSA or CCMTA guidance.
- Q: Are ELD logs required for driving strictly within a plant site or refinery?A: The applicability of ELD logs for driving strictly within a plant site or refinery depends on the regulatory exemption that applies to your operation. From a MyGeotab configuration standpoint, you can set up Zones for your facility and use Yard Move status when drivers are operating within those zones, which is treated differently from On Duty driving.
- Q: Can rules be created for unidentified driving in non-commercial trucks?A: Yes, you can create Exception Rules to track unidentified driving on non-commercial trucks. Go to Rules > Add Rule > Engine Status > and configure the rule to trigger when vehicle movement is detected without a driver assignment. You can scope the rule to specific Groups (e.g., a Non-CMV vehicle group).
- Q: Where is the compliance section for admins?A: You should be able to find it on the left hand side of MyGeotab between Productivity and Safety. If you do not see it there then it is likely you have a security clearance that does not give you access and will need to have a database administrator give you access if you need it.
- Q: Why is the HOS Driver Summary missing under Compliance?A: This is an add-in you will need to download from the marketplace. It is free and you can find it here: HOS Driver Summary.
- Q: Can resolved annotated logs be removed from the Unidentified Driving report?A: You can run the report to show only logs that have not been annotated. You can find this filter at the top beside the Filter button labeled annotations.
- Q: How do drivers log into the Geotab device?A: The drivers will use the Geotab Drive app which they can download from the apple app store or google play store. They will use their MyGeotab username and password to login there.
- Q: Can 3rd party mechanic trips be annotated as Maintenance Moves?A: The annotations you put and reasons are totally up to you and we can't really say what you can and can't do here. I would talk to your local authority to get their guidance in this area.
- Q: Why is no data showing in the Unidentified Driving section?A: There is a possibility you don't have any unidentified logs. I would be surprised if that is the case! Make sure your date range is expanded. You may just be on today and none have been created yet today.
- Q: If Driver 1 finishes his shift, goes Off Duty, but does not disconnect from the truck, then Driver 2 starts driving without logging into the ELD, the system is automatically placing Driver 1 back into driving status.A: If Driver 1 does not unassign himself from the vehicle and Driver 2 doesn't assign himself to the vehicle there is nothing that is telling the ELD that a new driver is driving the vehicle. So the ELD keeps driver 1 as the driver. Always make sure drivers are logging out or removing the vehicle.
- Q: What is the best way to assign logs to a driver who couldn't log in when they started driving?A: The ELD will record logs even if the driver is not assigned. You can find this in the unidentified driving section and assign them to the driver. Also the driver will be prompted to accept the logs created for the vehicle next time they drive.
- Q: Does the app alert drivers who start driving without completing a DVIR?A: Geotab Drive will prompt the driver to do the DVIR once they assign the vehicle to themselves. It will make them go through the DVIR flow before they can do anything else in the app. But there is no additional ping once driving starts.
- Q: Does 'On Duty' status start immediately or after 5 minutes of stopping?A: The system will wait for 5 minutes of being stopped to make sure they are not just sitting at a stop light momentarily. The time since stopped is recorded as On duty time once the 5 minutes has passed.
- Q: Will defect lists support more detailed customization for non-defect items?A: Currently you can add any custom options into a DVIR defect list. You could make your own list of product deliveries to fit your needs.
- Q: Is it possible to create custom HOS rulesets?A: No, we cannot create custom rulesets. You can review all our rulesets and see what options you have in this document: Hours-of-Service Rulesets.

Reactive Fleet Maintenance: When Unexpected Issues Arise
- Air Date: May 6, 2026
- Hosts: and
- Recording Link: Reactive Fleet Maintenance: When Unexpected Issues Arise - Learning LIVE!
While proactive maintenance is essential, unplanned issues are inevitable. This Learning LIVE! session covers how to detect and react to unpredictable asset events with speed and clarity.
What You’ll Learn:
- How to analyze engine fault data to quickly diagnose unexpected issues
- How to develop detailed defect lists for accurate tracking and resolution
- How to generate manual work orders to address unplanned maintenance needs
- How to automate reports for improved operational efficiency and faster response times
FAQs:
- Q: What does it mean if some of the information in the fault list is hazed out? A: If you see fault information being "hazed out", this is most likely due to you being on a rate plan that does not support the associated fault data. You can reach out to your reseller parter to discuss upgrading your plan to include this data in the future.
- Q: Are you able to add jobs that aren't based on schedules or defect lists? Or will you need to add an item to a defect list in order to add it as a job/ repair? A: Currently, in order to add a job, you must choose from an associated option from any chosen defect list.
- Q: What happens in the system when you assign a work order to someone? Do they get notified or does that need to be set up separately? A: The assignment does not include any notification association at this time. This field is currently only utilized to record who performed maintenance tasks for the associated work order or job.
- Q: I have several assets showing as needing an oil change due to oil life remaining. When I check my maintenance records from Auto Integrate, it has only been 2,000 miles. What would cause this? A: This could be due to various factors. We would most likely need additional information to determine the cause for this.
- Q: Can WOs from an ERP system be imported into Geotab's WO Management ? Are you able to add a miscellaneous category under job cost A: Not at this time, but your feedback is valuable to understand what may be required for future updates. Please feel free to add feedback from the support menu in your database to help us understand where we can make future improvements.
- Q: Is there a list of all the fault codes? A: Here is a list that may be helpful. We don't always read every code for every vehicle so its best to check the faults report in MyGeotab for each vehicle: List of Diagnostics and Sources with IDs [PUB]
- Q: How is severity determined? A: It is determined by the percentage Risk of breakdown based on our model we use to determine risk of breakdown for certain faults. Low: 0-4% Medium: 4-8.5% High: 8.5-15% Critical: >15% This is a feature that is continuing development so there is potential for inaccuracies.
- Q: What does unknown mean? A: It means the model we use to assess the severity cannot determine if this is a low or high risk of breakdown based on the way it is working today. This is a feature this is continuing development so this could change in the future for certain faults
- Q: Can you give me a simple example of how I could use the work order section for our fleet? We don't use this area at all currently. Is the key having a person or group who 'receives' this work order, in order to complete it? A: You will probably benefit from last week's sessions where Curtis goes into a lot of detail on this section: Proactive Fleet Health: Getting Started with Geotab Asset Maintenance Features - Learning LIVE! If you still have questions feel free to reach to us in the Community or through any support channels
- Q: Do you have a list of what a common Maintenance Defect List would include? Can this be bulk imported? A: The default lists include most of the common items. You can then use this as a template to add or remove anything to fit your needs
- Q: Are there any defect templates that address truck mounted booms or forklifts? A: Not a default but you can alter the default lists to include those items you will be concerned with for booms and forklifts. Making specific lists for each type of asset
- Q: If maintenance information is filled in from another system, could I link it (via API) to the mygeotab module and thus have it automated? A:Yes it is possible to link them. The new Work Order Management product was built API first, meaning it was designed to integrate easily with. Please review our free API documentation - https://docs.google.com/document/d/1WcNMx9MLX-ru2jQSoyHei0Be9fOkc6A4uDbIZMgw108/edit?tab=t.0#heading=h.6wrh7xjho0on Feel Free to email RickyRivera@geotab.com any feedback , and if you make any great integrations feel free to share we want to know how you are using it!

Discover the core MyGeotab features designed for proactive asset maintenance. This Learning LIVE! session explores how to leverage preventative maintenance schedules and work order management to reduce unexpected breakdowns and maximize asset uptime.
What You’ll Learn:
- How to set up and manage preventative maintenance schedules in MyGeotab
- How to utilize updated work order management features to stay ahead of maintenance needs
- How to reduce unexpected breakdowns through proactive monitoring
- How to maximize asset uptime and extend the life of your fleet
FAQs:
- Q: How do I start adding my vehicles to this maintenance. We use Fleetio for maintenance control but want to start using Geotab A: When you click on the schedule in question you will see assets at the bottom to add them to it.
- Q: Can I set reminder notifications for annual safeties that have been completed? A: Yes you can set up schedules for things like annual safety review or car registrations or anything else really.
- Q: Are you able to add historical (most recent) service records in bulk when adding units to a new schedule? A: Yes there is an import option at the top right of the page. It will give you a template to follow and a place to upload it once you are ready.
- Q: How do you update the existing Maintenance Schedules. For example, how do I update the notifications for the Oil Life Remaining schedule? A: You should be able to click on the maintenance schedule when you see them in the list. This will take you to the edit screen. Notifications will be at the bottom of the settings.
- Q: Can notifications be sent to an email other than a user in Geotab? A: The email will need to be added to MyGeotab to show up in the user list when creating the notification rule.
- Q: Can you send notification emails to people who aren't users, or do you have to be a user for this type of alert? A: The email will need to be added to MyGeotab to show up in the user list when creating the notification rule.
- Q: Can Geotab integrate with advanced diagnostic software? (e.g. JPRO, Cummins INSITE, etc...), And-or integrate with fleet maintenance systems, e.g. McLeod, - retain service records, fault codes A: We have several integration with different partners you can check them out in our marketplace: https://marketplace.geotab.com/category/maintenance-diagnostics/?sortBy=SolutionTierAscending.
- Q: Can you only set up maintenance for certain groups, not all of the trucks in Geotab? A: Yes! When you are adding assets to a maintenance schedule you can select just one group or any combination of groups to apply to that schedule.
- Q: Is there any way to have shop supplies or other fees as a cost group A: There is not a custom option to add costs or an "other costs" I would use something like parts cost to cover that one.
- Q: If you're working with a 3rd party vendor for maintenance that has access to Geotab, can the WO management be automated based off the data from them? A: This is a possibility. Depending on the vendor this can vary how exactly the integration works.
- Q: When looking through the maintenance tab, does it show the vehicle’s current location, or can it be sorted by terminal if you’re managing a large fleet? A: You can sort it by groups and sub groups to make it a little more manageable.
- Q: If you have a large fleet, can you copy paste a schedule you want to apply to the entire list of vehicles? A: Not at this time.
- Q: So, what happens when your readings from the truck are different from Geotab itself? I can manually edit the readings but yet a few days later they are different. A: You can manually update the odometer and engine hours in Work Orders and Jobs if there are discrepancies for the data based on the time/date stamp.
- Q: I have 40 assets listed in oil life remaining. I don't know which 40 (I have about 200) and I can't see any editing options... A: Oil Life Remaining is a digital insight and while you cannot manually add any assets to the schedule, any assets triggered as coming due will automatically show under Work Order Management > Requests.
- Q: Do you have to enter costs and labor, or can you move the work order to complete without them? A: Costs and Labor are completely optional as are most of the fields within Work Orders and Jobs.
- Q: If we do not use the work order feature and perform the maintenance ourselves, can we still use the schedule and notification features, and still update the vehicles as the maintenance is performed? A: Yes. This is where you can click on a Request and choose the Complete option to automatically create a completed Job and Work Order in the system. You will just need to add the time associated conditions for the event for Time / Distance / Engine Hours to ensure the next scheduled request is calculated correctly.
- Q: Can a report be generated to reflect past maintenance work orders? A: Yes. You can run reports for Work Orders and Jobs from within the associated Work Order Management pages as well as set up recurring dashboard or email reports from within the reports section.
- Q: Will DVIR's also pop up on the add to job portion of the work order? A: Not at this time.
Driving Down Safety Incidents: Predictive Rules, Tools and Collision Reconstruction

- Hosts: and
- Recording Link: Driving Down Safety Incidents: Predictive Rules, Tools and Collision Reconstruction
This essential Learning LIVE! session guides you through the complete lifecycle of collision management within the Geotab platform—from pre-emptive measures to post-incident analysis.
What You’ll Learn:
- How to leverage Collision Risk models to identify and coach high-risk drivers before an event occurs
- How to use custom MyGeotab Rules to trigger instant alerts for extreme driving and enable real-time intervention
- How to apply new safety standards for capturing harsh driving events
- How to perform Collision Reconstruction using precise telematics data—speed, G-force, and location—from the moment of impact
FAQs:
- Q1: Are the collision rules still in Beta and should the legacy rules be turned off? A: They are still in Beta. This does not mean they don't work well; they are being improved with feedback. We encourage you to use these newer rules going forward, and while you don't have to turn the legacy ones off immediately, it is good to start transitioning to these new rules.
- Q2: When Geotab doesn't detect the VIN number and one adds it manually, does it still work for the new safety rules? A: Yes it will still work.
- Q3: For minor and Major collision rules, if it is a bus/truck will it adjust accordingly the g force needed, and how does it determine what type of vehicle it is? A: Yes it will! We are reading the VIN to understand what kind of vehicle it is and how to adjust the rules knowing that information.
- Q4: I have excessive false positives on collisions; adding the new system do I need to calibrate? A: It is possible the accelerometer needs to be recalibrated. Which you can do by unplugging and plugging the device back in. IIt also may be an issue where the device is installed. It could be in a spot that gets kicked or vibrating up against something.
- Q5: Do we have to update our reports to the new rules, or will that be automatic? A: If you are using something like the Driver Safety Scorecard where you select certain rules for it to use, then when you start using these new rules you will want to update the report to reflect those rules.
- Q6: We are getting a lot of harsh accelerations that we didn't on the old rules; what driver patterns are taking into account to decide who is more likely to crash? A: There is a lot that goes into determining your risk profile. Such as vehicle type and the kind of driving you typically do. This is something that we are improving more and more as we get more data.
- Q7: Are training requests submitted through MyGeotab included in the plan or do we have to pay extra? A: It depends on your contract and agreements/reseller. I would contact your reseller to get the specific details of training offered with your contract
- Q8: Are the vehicle classes included in the new ABC rules? We have custom rules now that identify it for us and was curious if your new rules already have that built in. A: Yes! We are reading the VIN to understand what kind of vehicle it is and how to adjust the rules knowing that.
- Q9: For the rules and exceptions I do not have access to turn them on or off as they are grayed out; how do I get that? A: This is likely due to the clearance you have in MyGeotab. If you need access to change these rules, talk to one of your database administrators to have them update your clearance.
- Q10: Predictive must be every 100,000 miles? Can that be adjusted to a lower number (e.g., 20,000 km) as we do not drive far, but often? A: No this is saying the risk in the next 100,000 miles of driving of having a collision. We don't need to have the vehicle drive that far in order to predict the risk.
- Q11: If the safety rules are related to the collision risk module, can the user customize the conditions or are they automatically calibrated? A: Coming soon.
- Q12: For collision risk, can we benchmark against our own fleet? A: You can compare drivers or vehicles against each other in your fleet and the fleet average.
- Q13: Is there a way to turn on tailgating (mine says N/A) and where does this information come from? A: The Tailgating rating uses ADAS system data and is currently available for heavy-duty and medium-duty vehicles only.
- Q14: Once we activate the new collision rules will it back date or does it start for when we activate? A: Any rule will start the minute you turn it on. You can always reprocess the data back to any date to see if the rule was broken in the past, though it may take up to 24 hours to reprocess.
- Q15: Is the collision risk specific to the vehicle and the driver (e.g., slip-seat operations)? A: It can be run by vehicle or driver but we would need to know who is driving by using manual driver assignments or NFC keys to tell us when drivers change.
- Q16: Do the new geotab rules need to be turned on in order for them to appear on the collision risk page? A: No, those rules don't need to be on for the collision risk model to be used.
- Q17: When turning on collision rules on/off is the administrator the only one who can change it or can anyone? A: By default only administrators and supervisors can administer these rules. This permission can be added to any clearance with a custom clearance.
- Q18: In the case of collision risk, is the dataset sampled globally, or is the benchmark restricted to specific regions like Latin America? A: Coming soon.
- Q19: How does a driver see their own collision risk on the Drive App and where is it located? A: Driver safety profiles must be activated using the "View Driver Safety Insights" on the Drive App sub clearance. Once enabled, there should be a tile on the main dashboard.
- Q20: How is the benchmark figured on the collision part (compared to other companies)? A: We use all the data from different fleets across our 6 million vehicles to determine these benchmarks. Categorizing fleets for similar vehicles and driving to create the benchmarks
- Q21: Does the collision and predictive work with the G9 device, or only with the new GO FOCUS? A: Yes this works with just having a GO9
- Q22: If you have a small fleet (30 vehicles), can you search Collision Data for all vehicles or do you need to request info for each asset? A: You can run the report on your fleet the same as any other fleets.
- Q23: If an accident isn't detected is there a way to add it in the system? A: No, if you know there was an accident and it wasn't recorded you can reach out to support and our collision reconstruction team can put together a report of the data we have from around that time.
- Q25: What if I don't see Collision Risk or Collision Reconstruction under my Safety tab? A: You'll need to download the Collision Reconstruction add-in from the Marketplace.
- Q26: Our fleet is equipped with cameras, how can we integrate them to Geotab and does reconstruction work with other camera systems? A: Coming soon.
- Q27: Is it possible to customize the collision reconstruction report, or is it only available in the default format? A: Coming soon.
Mastering the Basics: Part 2 FAQs

Continue building your MyGeotab expertise in Part 2 of Mastering the Basics (Part 1 below)! This session picks up where Part 1 left off, diving deeper into the tools and features that help you get the most out of your fleet management platform.
What You’ll Learn By the End of the Mastering the Basics 2-part series:
- How to set up and organize groups for streamlined fleet management
- How to add and manage vehicles and drivers in MyGeotab
- How to create and use zones to monitor fleet activity by location
- How to configure rules and leverage reporting for actionable insights
FAQs:
- Q1: If I use AT&T's version of MyGeotab, are there any differences in your portal than theirs? A: No, the AT&T database/ portal has all the same functionality as any other MyGeotab database. The only real difference is the branding of the database and URL.
- Q2: Does the seatbelt exception trigger when starting the vehicle without latching the belt? Can this be adjusted for time/ duration? A: The built-in rule conditions are looking for no seatbelt and going over 6.21 MPH. You can customize this rule to have time/ duration or just ignition on, as well as, many other options.
- Q3: What if I have turned on all Beta Features in MyGeotab but they are not showing up? A: It is recommended you refresh your database or log out of and back into your database for the changes to take effect. If this does not work, please reach out to your support channel for troubleshooting.
- Q4: Where can I find documentation on the statistics for overspending and fuel waste shown in the Mastering the Basics: Part 2 training session? A: Reference sources coming soon!
- Q5: Does enabling a Beta Feature as an Administrator (Admin) enable it for all users or just the Admin? A: Beta features are toggled on and off by each user in the database (even Admins), so you would only be enabling it for yourself.
- Q6: If my fleet is equipped with cameras, can I connect them to MyGeotab? A: Mostly likely you can! We have several integrations with camera providers already set up; it depends on the camera type. As a first step, feel free to ask about your specific camera type in the Geotab Community and we will be able to help you get the specific answers for your unique setup.
- Q7: For exceptions in MyGeotab, do speeding incidents record the actual speed or are they just a general notification that speeding occurred. A: Yes; when you review an exception for a rule that was broken, the system brings you to the map with a line over the exact path where the infraction occurred. It also provides detailed speed data for the specific duration the speeding rule was violated and the exception was generated.
- Q8: Can MyGeotab notify users based on any condition set? A: Yes; notifications can be set up for any of the exception rules.
- Q9: Can the built-in rules be changed or adjusted? A: You can make a copy of the rules to create a custom version of it to fit your needs. Just hit the pencil icon the top right of the rule.
- Q10: Why are some elements greyed out for me under the Groups and Rules section? A: Access to these rules is likely restricted by your current permissions. To gain editing rights, an Administrator for your database must update your security clearance. You can review this document for all available clearances. What you are looking for is administer rules for this issue:
- Q11: Can we set up a rule based on a scheduled location versus an actual location? For example, if a vehicle is supposed to be at a terminal at a scheduled time, can we generate a report or notification when it is not? A: No this is not possible at this time. We can make rules based on zones to track whether a vehicle went to that zone or left that zone. We can know when this happens but are unable to make a rule based on time.

Whether you're a new user or looking to refresh your knowledge, Cecilia walks you through the fundamentals from A to Z — including setting up groups, vehicles, drivers, and more.
FAQs:
- Q: Is there a Geotab certification program for individual employees? A: At this time, Geotab offers learning tracks in the Geotab Academy, but they do not give you a certification. However, we are working on a customer certification program and will let our customers know once it is available.
- Q: How can I run a Trips History report in MyGeotab for a selected date range instead of viewing results broken down by individual days? A: To view the Trips History report by a selected date range rather than by individual days, click on the summary tile on the Trips History page. We will explore this feature in more depth in Mastering the Basics: Part 2 so please register!
- Q: How do I delete a group in MyGeotab? A: When you are looking at your Groups, click on the one you want to delete and you should see options pop up in the top right to either edit or delete.
- Q: If I’m missing the “+” option to add new groups in MyGeotab, what should I do to resolve this? A: If you are missing the “+” option to add a new group, you will need to get the correct security clearance to add new groups. An Administrator for your database can give you the permissions without needing to make you an administrator by giving you permission to administer Groups via a custom clearance.
- Q: How do I edit asset information in MyGeotab if it is incorrect? A: As long as you have the correct permissions in MyGeotab, you should be able to edit asset information on the Asset page. If you do not see the field, it is likely you do not have the correct permissions and need to contact your Administrator to grant you a built in or custom clearance that allows you to administer assets.
- Q: What is an Original Equipment Manufacturer (OEM)? A: An OEM is someone like Ford or Honda who is the one who makes the vehicles. You can read a little more about some of the OEMs we work with: https://www.geotab.com/oem-telematics/
- Q: Does OEM telematics give the same information as the GO Device? A: A lot of the OEMs give the same basic information but they do all vary a bit with how much information they give and what types they give. Some give much more than others.
- Q: What OEM telematics is MyGeotab able to connect with? A: We support most major OEMs at this time. You can read more about it on our OEM page here: https://www.geotab.com/oem-telematics/
- Q: Do we have monitoring in place for tracking GPS data availability for each asset in MyGeotab- including uptime percentage, downtime periods, and notifications when data is not available? A: You can use the Watchdog Report to monitor device connectivity. However, it does not show percentages by default, you would need to customize the report for it to show percentages.
- Q: Is it possible to enable preview features for a single user in MyGeotab or does it have to be done database-wide? A: Yes, each beta (preview) feature can be toggled on or off for each individual user.
- Q: Is there a report that shows maintenance issues for the entire fleet in MyGeotab or do you have to check by individual vehicles? A: In the Reports section, there are several reports that can help you monitor your asset’s health (for example, the Active Faults Report). You can set these reports up as emailed reports or as a dashboard. Please browse through the Reports section in MyGeotab for the reports that best meet your needs.
- Q: How long does the battery last in the GO Device? A: The GO Device is connected to the vehicle’s battery and does not have its own internal battery. Therefore, it will last as long as the vehicle’s battery is still working and providing power.
- Q: How do you delete an asset rather than archive it in MyGeotab? A: Geotab does not recommend the deletion of an asset because this will remove your ability to see the asset’s data if you need it in the future. But while editing an asset in MyGeotab, there is a button to delete it located in the top right (next to the Archive button).
- Q: If there is a Low Battery widget on the Asset Page, does that represent that there is a low battery on that vehicle? A: Yes, if the Low Battery widget is on the Asset Page, then this indicates an alert that the GO Device is reading a low voltage from the vehicle’s battery.
- Q: How do we resolve GO Device activation issues? A: Resolving GO Device activation issues depends on the issue. Most often, the GO Device will automatically connect once the vehicle is driven around a little, or after the GO Device is unplugged and plugged back in (if it’s a simple installation). However, please reach out to your Support resource so your specific situation can be further investigated if one of the solutions above did not resolve the issue. If you do not know your support resource, please reach out to us at and we will connect you to your support channel.
- Q: If a Partner did the GO Device installation, do I still need to add the device in MyGeotab? A: This depends on your specific Partner. Please reach out to your Partner to find out their specific installation and setup process. If you do not know how to contact your Partner, please reach out to us at and we will connect you to your support channel.
- Q: Is there a way to set the default view for the asset list in MyGeotab so that trailers are at the end of the list and vehicles show up at the top on one page? A: No, this is not currently a feature. Please feel free to submit your idea to our Feedback Hub.
- Q: What is the best practice for moving a GO Device from one vehicle to a different vehicle in MyGeotab? A: To move a GO Device from one vehicle to another, you will first need to Archive the original vehicle so that the data will be retained and the GO Device serial number will no longer be associated with the original vehicle. Then you can add the GO Device serial number to the new asset in MyGeotab. Please follow the steps in this video tutorial to correctly move a GO device from one vehicle to another.
- Q: Is there a way to remove access to an overall category (for example, Safety or Maintenance) in MyGeotab rather than having to remove clearances for each part of the category? A: No, this level of customization is not available at this time.
- Q: Does Geotab plan to incorporate Universal Product Code (UPC) codes for scanning GO Devices in and out? A: This is already available with our tool MyInstall. It gives installers the ability to scan the bar code of the GO Device they are installing and all of the changes are then reflected in a report in MyGeotab (called Installation Pending Changed). The Administrator can then go through the report and accept changes which then overwrites the information in MyGeotab.
- Q: Does the GO Device have the capability to see if the headlights are turned on or if turn signals are activated, so that pre-trip inspections can be done through MyGeotab? A: Yes and no; the GO Device does get headlight and turn signal data from some vehicles but not from all. If you look at the Maintenance section in MyGeotab, you can see all of the measurements being tracked for your individual vehicles.
- Q: Where can I find the locations (on a map) where my driver was speeding in MyGeotab? What if there is a speed limit issue- like when the posted speed limit does not match what is shown in MyGeotab? A: You can find where a driver was speeding on the map in the Trips History section. At the next webinar (Mastering the Basics: Part 2), Cecilia will cover how to activate and customize rules, including speeding rules. Once you activate the speeding rule, the section of a trip where your driver was speeding will actually change color to indicate that on the Trips History map. For more information on road speed in MyGeotab, please consult this article.
- Q: Can we remove drivers from MyGeotab? A: Yes, you can delete or archive drivers from MyGeotab just like you can with vehicles and other assets.
- Q: What can I do to monitor if a driver is driving too slow in MyGeotab? A: To monitor whether or not a driver is driving too slow in MyGeotab, you can make a rule to track when they are driving under the speed limit. Then you can monitor this in the exceptions report to see when, where and for how long drivers were driving under the speed limit. At the next webinar (Mastering the Basics: Part 2), Cecilia will cover how to activate rules and view the Exceptions report.
- Q: Is the information for tracking history in MyGeotab gone after three days? A: No, Geotab keeps data for a period of two years by default. In your MyGeotab database system settings, you can edit the purge period if needed. The functionality we highlighted in the training (“area activity”) only supports a maximum date range of three-days that you can freely select.
- Q: If we already have cameras in our vehicles, can we connect them to MyGeotab? A: Whether or not you can connect your existing cameras to MyGeotab depends on the camera type. Fortunately, we are integrated with quite a few camera providers- you can find the full list here.
