What the regulation says
Under US federal regulation (https://www.ecfr.gov/current/title-49/subtitle-B/chapter-III/subchapter-B/part-395/subpart-A/section-395.8), motor carriers are required to retain HOS records for a minimum of 6 months from the date of receipt. MyGeotab enforces this — the shortest HOS data retention period you can set is 6 months. If you are operating outside the US, the requirements in your jurisdiction may differ, so please verify with your compliance team.
How to set up an individual purge schedule for a driver
Since purge schedules in MyGeotab are applied at the group level, you can create a dedicated group for that driver and assign a custom schedule to it:
1. Create a new group for the driver (under Groups & Rules > Groups)
2. Assign the driver to that group
3. Navigate to System Settings > Data Purge and create a new schedule for that group
4. Set your desired retention period — at minimum 6 months for HOS data
Once the purge runs and the data falls outside the retention window, you can archive the driver to remove them from your active roster.
