Custom reports

Custom reports in MyGeotab help you to delve deeper into your fleet data to find the insights that matter to you.

By customizing your reports, you can visualize key performance indicators in a single view. This allows you to answer complex business questions and optimize your fleet's efficiency.

MyGeotab offers a comprehensive suite of built-in reports, and these report templates can be downloaded and customized to further suit your needs. Uploading these customized templates to MyGeotab allows you to run custom reports using your data. Customized reports can also be used to add custom charts to your Dashboard.

Custom reports are created by combining data columns in CSV files to collect your desired data points. You can combine data columns from different reports as needed. You can also create new sets of data columns to generate a completely customized reports. If you are unsure where to start, downloading the templates for related reports will help you identify relevant data columns.

Creating custom reports

Learn how to create a custom report in MyGeotab.

Before you can upload a custom report, you'll need to prepare a file to configure it. You can download existing report templates to help create your report if needed. Your file should contain all the data columns required for your report.

Note: MyGeotab supports XLSX and XLSM file formats.
  1. Navigate to Reports > All Available Reports in the main menu.
  2. Click + Report.
  3. Drag and drop your report file into the popup window, or click to browse your computer.
    Once the file uploads, the report edit page opens.
  4. Configure Who can see this report by selecting your desired groups from the dropdown list.
  5. Select whether or not you want to view the report in the dropdown list.
  6. Click the header at the top of the page to edit the report name.
  7. Navigate to the General tab to edit the following:
    1. Use the Description field to add a unique description to your report. This helps other users understand how the report is used.
    2. Use the Category dropdown to select categories that apply to your report. This allows you to find your report when you sort reports by category.
  8. Optional: Navigate to the Email report tab and select On to set the report up as an emailed report.
  9. Click Save.
Your new custom report will appear on the All Available Reports page under the categories you selected.

Custom report best practices

Refer to these best practices when creating custom reports to avoid problems generating your reports.

Reliability Best Practices

  • No formulas launched after 2013 are used for Dashboard reports

  • Pivot tables are set to refresh automatically

  • Retain item deleted from Source setting should be None for pivot tables

  • Dashboard graphics, if any, are translated

  • Dashboard graphics, if any, are dynamic to show MyGeotab user measurement preferences

  • The name or title or the custom report must not include square brackets []

  • There are no formulas in columns on the Hidden Data Sheet

  • There are no more than 1000 rows of data on the Data or Report Sheets

Scalability Best Practices

  • The Hidden Data Sheet has only the necessary columns

  • Formulas are not hard coded to the range in template, but flexible to encompass the entire possible range

  • Dashboard graphics include the data scope of the report

  • The report does not hit the 99,999 row limit while testing

  • Macros are not used for Dashboard reports

General Recommendations

  • The report title describes the purpose and functionality of the report

  • Data is translated for all sheets, except the Hidden Data sheet

  • Translation terms/phrases are available inside the Languages sheet in the template

  • Only necessary words, labels, and strings should be available in the Translation sheet

  • All data inside the template is anonymized

  • Only necessary sheets are visible

  • The document is saved on the tab that should be displayed on the Dashboard

  • The Data and Report sheets have less than 1000 rows of data
