Mileage reports

Mileage reporting in MyGeotab can help you understand your fleet’s mileage according to vehicle, driver, time and location.

Mileage data is important for proactive maintenance scheduling, optimizing fuel efficiency, and gaining historical insights for overall fleet activity analysis.

You can view your fleet’s mileage in a variety of different ways using the Advanced Trips Summary report. This report gives you the option to view your fleet’s activity by asset or by driver. It can be filtered when downloaded to provide more detailed breakdowns of mileage by time or location.

You can also view total lifetime mileage for particular assets or your entire fleet using the Advanced Assets report. This report displays the total odometer value for all assets included in the report. It allows you to track lifetime mileage for your fleet in whole or by segment.

Viewing total mileage by driver

Learn how to view individual driver mileage in your fleet using the Advanced Trips Summary report.

  1. Navigate to Productivity > Trips History in the main menu.
  2. Click Summary at the top of the page.
  3. Under Filters:
    1. Select a date range for your data.
    2. Select whether you want to include archived data.
    3. Set View by to Driver.
    4. Click Apply.
  4. View the report in the format of your choice:
    1. Click Reports > Advanced (⋮) > View in browser to view the report directly in MyGeotab.
    2. Click Reports > Advanced to prepare the report for download. Click Download now in the notification window to begin the download.

Depending on the size of your report, it will take some time to generate. Navigate to Reports > My Reports to view its status.

Manually adjusting odometer values

Learn how to manually adjust the odometer value for an asset in MyGeotab when automatic recording is unavailable.

For some assets, automatic recording of the odometer reading may not be available because the manufacturer does not provide it, or it is not supported. If unsupported, you can update the odometer in your account by manually entering your asset’s current odometer reading.
  1. Navigate to Assets in the main menu.
  2. Select the asset you want to add an odometer value for from the list.
  3. On the Usage card, enter the new value in the Odometer/total distance field.
  4. Click Save.
MyGeotab retroactively corrects archived (historical) odometer readings based on the most recently entered value (whether manually or automatically recorded). This most recent value is always assumed to be correct and overrides all previous entries or corrections.

Viewing total mileage during work hours

Learn how to view mileage accrued during work hours.

  1. Navigate to Productivity > Trips History in the main menu.
  2. Click Summary at the top of the page.
  3. Under Filters:
    1. Select a date range for your data.
    2. Select whether you want to include archived data.
    3. Select whether you want to view your report by Asset or Driver.
    4. Click Apply.
  4. Click Reports > Advanced to download the report.
    Note:

    Depending on the size of your report, it will take some time to generate. Navigate to Reports > My Reports to view its status.

  5. Open the downloaded Excel file and click on the Summary tab.
  6. Click on Grand Total to open the corresponding pivot table.
  7. Check the Start During Work Hours box to show the corresponding column.
  8. Click on the column and toggle False to Off.
  9. Click OK.

Viewing odometer readings for multiple assets

  1. Navigate to the Assets page in the main menu.
  2. Filter the page using the Filters to select the assets you want to view odometer readings for.
  3. Select Reports > Advanced.
    Note:

    Depending on the size of your report, it will take some time to generate. Navigate to Reports > My Reports to view its status.

  4. Open the downloaded Excel report and locate the Odometer column to view odometer readings.
