Work Order Management overview

Use the Work Order Management feature to streamline your fleet maintenance. Track needs and find issues early to help your assets last longer.

Use this tool to view all current and planned maintenance work in your fleet. You can set schedules to track which assets need maintenance and when. This helps you address problems before they start and minimizes your assets' downtime.

The Work Order Management feature also shows engine faults and predictive alerts for assets in your fleet. These alerts give you quick summaries of risks before they turn into major repairs.

To access the Work Order Management feature, navigate to Maintenance > Work Order Management in the main menu.

Required clearances for Work Order Management

The Work Order Management feature needs specific clearances for you to be able to access data and manage records.

You'll need to make sure that your user account has the right permissions to view data and manage records. Users need the following clearances to use these features:

Understanding the workflow

The Work Order Management feature follows a structured maintenance lifecycle.

Following a structured workflow for your maintenance tasks ensures every issue is tracked from detection until resolution. The workflow moves through four stages:
  1. Maintenance schedules: You define the rules for when maintenance will be due.

  2. Work Requests: A new work request appears on the Work Request tab when one of the schedules you've set up has been triggered, or a predictive insight occurs.

  3. Work Orders: You review all requests and convert them into work orders to authorize the repairs.

  4. Maintenance Jobs: The specific tasks within a work order are tracked as jobs. Once all jobs are completed, mark the Work Order as completed. This will reset any schedules you have set up and start the process over again.

Viewing maintenance history

Quickly locate past service records to audit costs, verify maintenance compliance, or review work performed on specific assets.

  1. Navigate to Maintenance > Work Order Management in the main menu.
  2. Click the Orders tab.
  3. Click Filters.
  4. Select a date range for your data.
  5. Select the assets you want to view using the Assets dropdown.
  6. To see only past work, select the Status filter and check the box next to Completed.
  7. Click Apply.
To view more details about a specific maintenance event, you can click on the line item to open the Overview page for that event.

Downloading maintenance reports

Export your maintenance data to perform offline analysis, back up your records, or share service history with stakeholders.

This steps can also be performed on the Work Order Management Requests or Jobs tabs.
  1. Navigate to Maintenance > Work Order Management in the main menu.
  2. Click the Orders tab.
  3. Click Filters.
  4. Select a date range for your data.
  5. Select the assets you want to view using the Assets dropdown.
  6. Click Apply.
  7. Click the Report button and click Advanced to download a copy of your report.

Depending on the size of your report, it may take some time to generate. Navigate to Reports > My Reports to view its status.
