Maintenance schedules

Manage your fleet health with service reminders.

Setting schedules helps you avoid costly repairs and breakdowns. You can create them for routine service, license renewals, and other important intervals you want to track.

To access the Schedules feature, navigate to Maintenance > Schedules in the main menu.

Creating new maintenance schedules

Learn how to create a new preventative maintenance plan to ensure a given asset is serviced on time.

  1. Navigate to Maintenance > Schedules in the main navigation.
  2. Select + Schedule from the top menu on the Schedules page.
  3. Enter a Schedule name.
  4. Enter a Category.
    Note: Categories are additional types of labels that can help you with reporting purposes.
  5. Using the checkboxes, set the specific conditions and interval for your schedule. You can set this by time, distance, engine hours, or a combination of these conditions:
    1. Locate the Conditions section.
    2. Click the dropdown and check the relevant boxes (for example, date, distance, engine hours).
    3. Update the specific frequencies (for example, every six months or every 10,000 kilometers).
      Note: You can select multiple criteria. The schedule triggers when any one condition is met.
  6. Select Add Assets to search for and add assets to the schedule:
    1. Select specific assets or an entire group to attach to the schedule.
    2. Click Add.
  7. Select the Notifications tab to set up notifications for your schedule.
  8. Click Save.
Your new schedule will now appear on the Schedules page. You can see when a vehicle is due for your scheduled maintenance by going to the Request tab of the Work Order Management page.

Editing existing maintenance schedules

Learn how to keep your maintenance up-to-date by adjusting triggers, assets, or alerts as your fleet evolves.

  1. Navigate to Maintenance > Schedules in the main menu.
  2. Select the schedule you want to edit.
  3. Modify fields such as Schedule name, Conditions, or Notifications.
  4. Click Save.
Your schedule will be immediately updated with the changes you made.

Removing maintenance schedules

Learn how to delete or archive out-of-date or duplicate schedules to keep your maintenance list clean and relevant.

  1. Navigate to Maintenance > Schedules in the main menu.
  2. Select the schedule you want to remove.
  3. Click Schedule Options at the top of the page.
  4. Choose how you want to remove your schedule:
    • Click Delete if you no longer need the schedule and want to permanently delete it from your database.
    • Click Archive if you want to retain the schedule for potential future use.
  5. Confirm your selection in the confirmation window.
You can view archived schedules by selecting Included archived data in the Filters panel of the Schedules page. Deleted schedules cannot be recovered.

Setting up maintenance schedule notifications

Learn how to set up alerts to ensure the right people are notified when maintenance is due.

  1. Navigate to Maintenance > Schedules in the main menu.
  2. Select the schedule for which you want to receive email notifications.
  3. Locate the Notifications section.
  4. Choose Email as the Notification type.
  5. If applicable, select the Recipient who should receive the email.
  6. Fill in any other required information and click Add.
  7. Click Save.
The recipients you added to the schedule will now receive email alerts when the conditions of the schedule are met.

Managing access to maintenance schedules

Learn how to control which user groups have permission to view or modify specific maintenance schedules.

  1. Navigate to Maintenance > Schedules in the main menu.
  2. Select the schedule you want to edit.
  3. In the Maintenance schedule access dropdown menu, either:
    • Select additional groups to grant them access.
    • Click the X next to a group name to remove their access.
  4. Click Save.
Note: This action modifies which users can view and edit the maintenance schedule. If you remove all groups, this will revert the schedule back to being visible to all your users.

Understanding data insights (predictive maintenance)

Leverage automated, data-driven alerts to catch battery or oil issues before they cause breakdowns.

There are two types of automated Maintenance Schedules that display based on the availability of data from your assets:
  • Electrical System Rating (ESR) – Alerts users when the Electrical System Rating of an asset drops to or below 15 out of 100. This indicates a potential need to inspect the asset’s battery and electrical connections.

  • Oil Life Remaining – Estimates the remaining oil life based on asset-specific data and driving behaviors. Oil Life Remaining calculates the optimal time for an oil change, aiding in maintenance planning and asset care.

You cannot adjust when these insights will trigger. They are based on data models created by Geotab and are not set up to be edited.

Disabling automated maintenance schedules

Learn how to disable automated maintenance schedules to prevent them from triggering alerts.

  1. Navigate to Maintenance > Schedules in the main menu.
  2. Select the automated maintenance schedule you want to disable from the list.
  3. Toggle the Active control to No.
  4. Click Save.
The automated maintenance schedule will no longer trigger alerts.
