Group assignments

Assigning users and assets to groups allows you to organize your resources and control data access and reporting.

You can assign users and assets to groups individually or in bulk for convenience. You can also edit a resource's groups at any time by adding or removing groups on the appropriate resource edit page.

Assigning assets to groups

Learn how to assign assets to your groups.

Before you can assign assets to a group, you’ll need to create the required group or groups first.
  1. Navigate to the Assets page in the main menu.
  2. Select the asset you want to assign to a group to open the Asset Edit page.
    1. If you want to assign more than one asset at the same time, select the assets from the list and click Edit to open the Edit multiple assets page.
  3. Use the Groups dropdown to select your desired group. You can add more than one group at the same time.

    Note: When adding multiple assets to a group at the same time, you'll need to first click Add Groups.
  4. Click Save changes.
  5. If adding multiple assets to a group, you'll receive a confirmation dialog box that all assets have been added to the group. Click Accept to confirm your changes.
Group assignments take effect immediately.

Removing assets from groups

Learn how to remove assets from groups.

Assets must be removed from groups on an individual basis. You cannot remove multiple assets from a group at the same time.

  1. Navigate to the Assets page in the main menu.
  2. Select the asset you want to remove from a group to open the Asset Edit page.
  3. Under the Groups dropdown list, click the X beside the group name to remove your asset from it.

  4. Click Save changes.
Removing an asset from a group takes effect immediately.

Assigning users to groups

Learn how to assign users to groups.

Before you can assign users to a group, you’ll need to create the required group or groups first.
  1. Navigate to the People > Users & Drivers in the main menu.
  2. Select the user you want to assign to a group.
    1. If you want to assign more than user at the same time, select the users from the list and click Edit selected users.
  3. Use the Groups dropdown to select your desired group. You can add more than one group at the same time.

    Note: When adding multiple users at the same time, you'll need to first click Add Groups.
  4. Click Save.
  5. If adding multiple users to a group, you'll receive a confirmation dialog box that all users have been added to the group. Click Accept to confirm your changes.
Note: Assigning a single user to groups automatically changes that user’s data access settings. The same is not true when you add multiple users to a group. To adjust a user’s data access, see modifying user data access.

Removing users from groups

Learn how to remove users from groups.

Users must be removed from groups on an individual basis. You cannot remove multiple users from a group at the same time.
  1. Navigate to People > Users & Drivers in the main menu.
  2. Select the user you want to remove from a group.
  3. Under the Groups dropdown list, click the X beside the group name to remove the user from it.

Removing groups from rules

Learn how to remove groups from rules to prevent the automatic assignment of assets to groups based on triggered rules.

MyGeotab can automatically assign assets to groups based on triggered rules. If you want to prevent this from happening, you’ll need to modify the settings of the relevant rule to remove the group.
  1. Navigate to Groups & Rules > Rules in the main menu.
  2. If you want to remove a group from a built-in rule:
    1. Click the Envelope icon on the rule you want to edit.
  3. If you want to remove a group from a custom rule:
    1. Select your custom rule from the list.
    2. Click on the Notifications tab.
  4. Click More > Assign to Group.
  5. Remove the group or groups assigned to the rule by clicking X beside the group name.

  6. Click Save.
Assets will no longer be assigned to the group when the rule triggers.
