To help you manage your team more effectively, we are updating user clearances for Work Order Management. This update will allow administrators to control exactly what each user can see and do within the system.

What's new?

Previously, all users in the module had unlimited access to create, edit, and delete information. Soon, we’re introducing three distinct levels of authority that can be applied to individual users:

  • View access: Users can view maintenance pages and download reports but cannot make changes.
  • Edit access: Users have the authority to modify existing schedules, requests, or work orders.
  • Full access: Users can create new items and delete existing schedules, requests, or work orders. Administrators will also be able to set these permissions on a per-page basis. This means you can grant a user different levels of access for maintenance schedules, work requests, and specific jobs or work orders. Image showing maintenance clearance settings
Why it matters

These new clearances will provide administrators with the tools needed to ensure data integrity and operational compliance. By restricting deletion or editing rights to only authorized personnel, you reduce the risk of accidental data loss or unauthorized changes to your maintenance history.

This level of control is essential for larger organizations or those with strict regulatory requirements. It ensures that every team member has the information they need to do their job without compromising the security of the overall fleet management system.

Availability

These updates will be available to all users globally in March, 2026. Administrators will be able to adjust these permissions in MyGeotab by navigating to People > Clearances and searching for Maintenance.
