More precise control over fuel transaction access

We introduced a new "Administer fuel transaction settings" security clearance in MyGeotab® to give administrators more precise control over who can access sensitive fuel transaction data and settings. As part of this update, the existing "Administer Fuel Transactions" clearance has been renamed to "Add, edit, and delete fuel transactions" to better reflect its intended scope.

Why it matters

As organizations grow, fuel transaction management requires finer permission scoping. Previously, visibility of unassigned fuel transactions and the ability to manage fuel card integration and assignment preference settings was accessible to anyone with the general "Administer Fuel Transactions" or "Supervisor" clearance. This broader access made it difficult for administrators to control who could view sensitive unassigned transaction data or modify fuel transaction settings.

The new dedicated clearance ensures that access to sensitive fuel transaction data and settings is purposefully assigned rather than broadly available by default.

  • Control who can view unassigned fuel transactions and manage fuel card integration and assignment preference settings using a dedicated, purpose-built clearance.
  • Reduce the risk of unintended access to sensitive fuel data.
  • Help administrators managing large fleets maintain compliance with internal data governance policies.
Who is affected

Users who previously relied on the "Supervisor" or "Administer Fuel Transactions" clearance to view unassigned transactions or manage fuel settings will lose that access unless explicitly granted the new "Administer fuel transaction settings" clearance. Administrators should review and update user clearances as soon as possible to avoid workflow disruptions.

Updating user clearances

To assign the new clearance:

  • Navigate to Administration > Users from the main menu.
  • Select the user or security clearance group you want to update.
  • Enable the Administer fuel transaction settings clearance and click Save.
